Job Description
Position Overview The Operations Coordinator serves as a critical bridge between day-to-day execution and system-level operational consistency across Coastline Wealth Management. This role is responsible for coordinating workflows, maintaining operational infrastructure, and ensuring consistent execution of processes across the organization. The Operations Coordinator supports business operations, advisor enablement, and platform integration efforts while strengthening visibility, accountability, and follow-through across initiatives. As Coastline continues to grow through acquisitions and multi-entity expansion, this role plays a key part in driving standardization, improving platform utilization, and enabling scalable operations. Core Responsibility Areas Business Operations & Execution Maintain and refine workflow architecture to support operational consistency Manage SOP documentation, version control, and continuous improvement Prepare KPI dashboards and recurring reporting packages Track and drive completion of action items across leadership and initiatives Coordinate executive meeting cadence, agendas, and follow-up summaries Support cross-functional initiative planning, timelines, and dependencies Advisor Enablement & Platform Integration Coordinate advisor onboarding and integration workflows Manage platform utilization tracking and scorecards Oversee quality control of platform setup and implementation Coordinate training schedules, materials, and logistics Support integration checklists across acquisitions and transitions Monitor and escalate workflow gaps, utilization risks, and process breakdowns Essential Duties & Responsibilities Own operational follow-through across multiple concurrent priorities Ensure accuracy and consistency in documentation, reporting, and workflows Act as a central coordination point between leadership, operations, and advisors Identify inefficiencies and recommend process improvements Maintain organized, audit-ready documentation across systems (e.g., OneDrive, Paychex) Support compliance-related operational processes through documentation and tracking Communicate clearly and proactively with stakeholders across the organization Qualifications Education & Experience Bachelor's degree in Business, Operations, or related field preferred 2-5 years of experience in operations, project coordination, or business support roles Experience in financial services, professional services, or multi-entity environments preferred Technical & Professional Skills Strong organizational and project coordination skills Experience with workflow documentation and SOP development Expert level in Excel and reporting tools Experience with HRIS, CRM, or operational platforms (e.g., Paychex or similar) preferred Ability to manage multiple priorities with attention to detail Strong written and verbal communication skills Core Competencies Operational discipline and attention to detail Systems thinking and process orientation Accountability and follow-through Cross-functional coordination and communication Problem-solving and continuous improvement mindset Ability to operate in a fast-paced, evolving environment Coastline Wealth Management is an Equal Opportunity Employer.
