Job Description
Fresh Start Facility Services Maintenance is a growing facilities services company supporting residential and commercial properties throughout the New York area. We provide cleaning, painting, maintenance, turn services, trash-outs, and related support services for property managers, buildings, and commercial clients. We are looking for a strong Operations & Office Manager who can help bring greater organization, accountability, responsiveness, and consistency to our office and daily operations. This is not a basic administrative role. We need someone who can help manage office workflow, support client communication, follow up on billing and accounts receivable, coordinate with field staff, help organize scheduling, and improve internal processes as the company continues to grow. We are actively looking to hire within the next few weeks. Responsibilities Oversee daily office workflow and front-office operations Coordinate office priorities, task follow-through, and staff accountability Support scheduling and communication between office and field teams Manage inbound customer inquiries and lead follow-up Communicate with customers, vendors, property managers, and field personnel Support customer issue resolution and follow-through Assist with billing coordination, invoice follow-up, A/R follow-up, and collections coordination Help improve office systems, workflows, and internal procedures Support CRM/HubSpot usage for lead tracking, customer follow-up, and internal accountability Help oversee trash-out job coordination, scheduling, follow-up, and communication Support the development of training materials, SOPs, and process documentation Help create a more organized, accountable, and efficient office environment What Success Looks Like Improved office organization and daily workflow Faster invoicing and billing follow-through Stronger A/R and collections follow-up Better communication between office staff, field teams, and customers Improved client responsiveness and follow-through More consistent use of CRM/HubSpot Better scheduling and job tracking Clearer task ownership and staff accountability A calmer, more structured day-to-day office environment Qualifications Bilingual English/Spanish required 3+ years of experience in office operations, service operations, dispatch, customer operations, office management, or a related role Strong organizational and follow-through skills Comfortable managing multiple priorities in a fast-moving environment Strong written and verbal communication skills Experience with customer service, scheduling, billing, A/R, or collections preferred Experience with CRM systems, HubSpot, dispatch software, or service management platforms is a plus Experience in facilities services, property management, construction administration, field services, logistics, or related industries is helpful but not required Basic understanding of AI tools and modern office technology is a plus Ideal Candidate The right person for this role is: Calm under pressure Organized and detail-oriented Proactive and solutions-oriented Accountable and reliable A strong communicator Comfortable holding others accountable respectfully Able to manage multiple moving pieces Comfortable working in a growing entrepreneurial business Able to create structure without being too rigid Willing to step into operational challenges and help solve problems Compensation & Schedule Full-time salaried position Salary range: $55,000-$65,000 per year , based on experience KPI-based bonus opportunity tied to measurable operational results Paid time off available Monday-Friday schedule with occasional flexibility based on operational needs Opportunity to grow with a fast-growing facilities services company KPI-Based Bonus Opportunity Performance bonus may be tied to measurable results such as: Timely invoicing and billing follow-through A/R follow-up and collections support Client response time and communication follow-through CRM/HubSpot usage and lead follow-up consistency Office task completion and staff accountability Scheduling coordination and job follow-through Trash-out workflow organization SOP and process implementation progress Overall improvement in office organization and operational efficiency Work Location Queens / Long Island, NY area In-person position How to Apply Please submit your resume along with a brief summary of your relevant experience and why you believe you would be a strong fit for this role.
