In this vital role, you will be the first point of contact for patients, managing appointment scheduling, coordinating treatment plans, and ensuring seamless communication between patients and clinical staff. Your proactive approach will help optimize clinic operations, enhance patient experience, and support the delivery of exceptional orthodontic care. Duties Manage all aspects of patient scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, Eaglesoft, Dentrix, or similar platforms Verify insurance coverage and perform insurance authorization and verification procedures including insurance verification and pre-authorizations Coordinate appointment reminders via phone calls, texts, or emails to ensure high patient attendance rates Review patient documentation for accuracy and completeness, including treatment plans and medical records Assist with billing processes by collecting payments, processing medical collections, and ensuring accurate CPT coding and ICD coding for procedures Maintain detailed records of patient interactions, treatment plans, and scheduling changes in compliance with HIPAA regulations Provide exceptional front desk support by answering multi-line phone systems with professional phone etiquette and managing patient check-in/check-out processes Support clinic operations by managing filing systems, updating medical records in EHR systems like Athenahealth or eClinicalWorks, and handling clerical tasks such as typing reports and data entry Collaborate with clinical staff to coordinate care plans and ensure timely appointment scheduling aligned with treatment protocols Experience Previous experience in medical or dental office management or administrative support within a healthcare setting is required Proficiency in EMR/EHR systems such as Epic, Meditech, Eaglesoft, Dentrix, or similar platforms is essential Strong knowledge of medical terminology, CPT coding, ICD-9/ICD-10 coding standards, and medical billing practices is highly preferred Experience with insurance verification processes including Medicare and Medicaid is advantageous Bilingual abilities are a plus to effectively serve diverse patient populations Demonstrated ability to handle multi-line phone systems with professionalism and excellent customer service skills Familiarity with dental terminology and orthodontic procedures is beneficial but not mandatory Strong computer skills including Microsoft Office Suite (Word, Excel) and health information management software are necessary Join us to be part of a dedicated team committed to delivering outstanding orthodontic care while fostering a positive environment that values your skills and growth.
