Job Overview We are seeking a motivated Part-Time Administrative Assistant to join our dynamic team. This role offers an exciting opportunity to support our daily office operations, enhance client interactions, and contribute to a well-organized work environment. The ideal candidate will have basic accounts payable knowledge, proficient in excel, attention to detail, and excellent communication skills to ensure smooth administrative processes. Responsibilities Responsible for processing new or changed vendor maintenance forms to Corporate. Prepares and issues purchase request forms for various supplies, products and materials with proper approvals. Responsible for placing all orders for various supplies, products and materials with vendors. Responsible for obtaining receiving records for all purchases. Responsible for matching invoices with appropriate documentation and forwarding to Corporate Accounts Payable department daily for processing and payment. Handle vendor calls regarding open invoices and payments. May need to refer vendor to Corporate Accounts Payable department. Coordinates with various company staff to satisfy vendors' needs. Prepare special reports as required. Reviews Open Purchase Order Reports weekly to ensure timely invoice processing and to resolve open receivers. Advises management regarding variances. Ensures all documentation is submitted to Corporate Accounts Payable in a timely manner for month-end closing. Maintain operational reports for management. Develops and maintains positive relationships with all levels of internal and external clients. Creates a culture of "customer first" and translates this culture into daily workflow and priorities. Regularly employs continuous improvement techniques and practices in all activities. Supports LEAN projects. Performs duties in compliance with Federal, state and local laws and regulations and adheres to all Penn Emblem policies and safety procedures. Perform other work-related projects as assigned by the Plant Manager. Skills Basic understanding of purchasing, accounts payable, invoice processing and general administrative tasks. Self-driven, self-motivated, results-oriented, positive attitude, and confident. Strong analytical, investigative skills and problem-solving skills. Detail oriented, logical and methodical approach to problem solving. Creative, critical thinking and good judgment to quickly determine and prioritize key issues. Ability to manage concurrent assignments in an effective, efficient, and organized manner. Flexible and possesses the ability to adapt to a changing environment and a flexible schedule. Open to feedback and learning. Excellent English oral and written communications skills, facilitation and negotiation skills, and strong interpersonal/client servicing skills. Must have the ability to persuade and influence others. Interface and maintain effective relationships with all departments and employees in a team- oriented environment. Highly ethical. Ability to maintain a high degree of confidentiality and to use discretion in dealing with sensitive information. Demonstrated advanced proficiency in Microsoft Office applications (i.e., Excel, Word, PowerPoint and Outlook, etc.).
