Job Summary:
The Administrative Assistant for Human Resources provides clerical, administrative, and customer service support to the HR department. This position assists with daily office operations, employee records management, data entry, and communication witih faculty, staff, visitors and external agencies while maintaining confidentiality and professionalism.
Description of Job Duties:
Serving as a point of contact, greeting individuals that come into the office, providing smooth communication with employees and timely resolution to their questions. Must be able to meet deadlines. Notify Supervisor or Human Resources of any potentially dangerous equipment, practices, or violations of safety procedures. Appropriate attendance and punctuality required. Assist in maintaining the office supplies & equipment needs. Procure quotes as needed. Maintain confidentiality of sensitive employee and institutional information. Assist with performing essential day-to-day clerical duties, including but not limited to typing, data entry, drafting of letters, proofing and editing documents, making copies, scanning, and filing. Coordinate with Payroll regarding time entry corrections, deadlines and processing. Review employee time entry submissions for completeness and accuracy. Ability to learn HRIS systems and databases quickly. Prepare correspondence, reports, forms, and other HR-related documents. Assist HR department by scheduling meetings, appointments, answering phones, and responding to routine HR inquiries.
Additional Responsibilities:
Promote personal safety, safety procedures, and a safe work environment. Assist in emergency situations as called upon. Other duties as assigned.
Terms of Employment:
Employment at will. Reports to the Assistant Vice President of HR and Assistant Director of HR. Safety and job-related training(s) will be completed as instructed. Wage to be established by SWOSU's wage structure. Expectation of on-campus presence. Part-time status 12-month appointment Non-exempt
EDUCATION AND EXPERIENCE
Education and Experience:
Strong written, verbal, basic math skills, and interpersonal skills are required. Preferably two to three years of experience as a secretary or acceptable equivalent experience or education required. Strong attention to detail required. Ability to use office equipment required. Efficiency in Microsoft Office strongly preferred. Knowledge of office management, bookkeeping, record keeping, and data management is strongly preferred. Such alternatives to the above qualifications as the President of SWOSU or his/her designee may find appropriate.
