The Company is currently hiring an Parts Associate for it's terminal near Mentone, TX.
POSITION SUMMARY
The Parts Associate ensures fleet uptime by managing parts inventory, vendor relationships, purchase order workflows, and warranty processes across Chalk Mountain Services shop locations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Inventory Management Maintain optimal inventory levels based on utilization, lead times, and seasonal demand Conduct cycle counts and reconciles physical inventory against system records; investigate and resolve discrepancies Identify slow-moving and obsolete stock; coordinate returns or disposition with the Parts Manager Organize and maintain the parts room and storage areas Purchasing & Vendor Management Create, review, and process purchase orders for parts, fuel, DEF, wash services, tires, and shop supplies; verify pricing, quantities, and account coding before submission Source parts from the approved vendor list; obtain competitive quotes for non-stock or high-value items Receive shipments, verify against POs and packing slips, and resolve shortages, damages, or substitutions with vendors Warranty Administration Identify warranty-eligible parts and repairs Submit warranty claims to vendors and OEMs within required timeframes; track claim status through resolution Reconcile warranty credits and reimbursements against original POs to ensure full cost recovery Maintain warranty documentation and produce periodic warranty recovery reports Communication & Coordination Coordinate daily with shop technicians, Shop Foreman, and Parts Manager to align parts availability with repair priorities Communicate parts availability, ETAs, and back-order status proactively to affected stakeholders Perform other duties as assigned
QUALIFICATIONS
High school diploma or GED required; coursework or certification in supply chain, logistics, or fleet management preferred Minimum six (6) months of parts experience in a fleet maintenance, heavy-duty truck, automotive, or similar environment Working knowledge of heavy-duty truck and trailer parts, components, and terminology preferred Proficiency in Microsoft Office (Excel, Outlook, Word) and experience with fleet maintenance management systems Strong organizational skills with the ability to manage competing priorities in a fast-paced environment Demonstrated problem-solving skills and attention to detail Ability to communicate clearly and professionally with vendors, technicians, drivers, and management Must pass criminal background check and pre-employment drug screen
