We are seeking a highly polished, detail-oriented Patient Care Concierge / patient coordinator to serve as the face and voice of our brand. This is far more than a traditional front desk role—this position is essential to creating the seamless, high-touch experience our clients expect. Position Overview The Patient Care Concierge is responsible for overseeing the full front-of-house client journey, including scheduling, communication, check-in/check-out, and maintaining an elevated, luxury atmosphere. The ideal candidate is warm, professional, highly organized, and thrives in a fast-paced environment while maintaining calm precision. Key Responsibilities Manage patient scheduling, confirmations, and appointment flow efficiently Answer phones, text inquiries, and client communications with professionalism and warmth Provide exceptional client service from first contact through checkout Facilitate smooth check-in and check-out processes Support treatment plan coordination, rebooking, and retention efforts Maintain front desk organization and daily operational flow Represent NA with professionalism, discretion, and brand alignment Anticipate client needs and proactively enhance the overall experience Collaborate closely with providers and leadership to ensure seamless operations Qualifications Previous experience in medical spa, aesthetics, luxury hospitality, or medical office preferred Strong customer service and communication skills Exceptional organizational and multitasking abilities Professional appearance and polished demeanor Experience with scheduling software/EMR systems preferred Sales confidence and client retention mindset are a plus Ability to remain calm, composed, and solution-oriented under pressure Ideal Candidate Naturally creates a VIP-level client experience Anticipates needs before they are voiced Communicates with polish, warmth, and confidence Takes pride in details, presentation, and service excellence Thrives in a luxury, team-oriented environment Compensation & Benefits Competitive hourly pay based on experience Performance-based bonus opportunities Employee discounts on services and products Growth opportunities within a rapidly expanding luxury med spa Supportive, team-focused culture Schedule Full-time ~ 30 hours per week.
