We serve full families (babies, kids, moms, and dads) helping them navigate stress, sensory challenges, sleep struggles, and the demands of modern parenthood. Our clinic is calm, intentional, and deeply human. We want every family to feel heard and build relationships that last years, not visits. We are growing and need someone exceptional to anchor the front of house. The Role You are the first voice families hear and the first face they see. That matters more than any task on a checklist. Your job is to make families feel seen, supported, confident, and to keep everything running smoothly so our doctor can focus on care. We are a small, growing practice. That means you will have real ownership from day one. We will give you training, SOPs, and support, but we also need someone who can figure things out when the playbook does not have the answer yet. If you are the kind of person who stays calm when things get hectic, makes people feel taken care of even when you are still learning, and finds it exciting (not stressful) to help build something, this role was made for you. What You'll Do Answer calls and greet families with genuine warmth. You are the first impression of Fika. Schedule, confirm, and manage appointments with precision. Communicate with families via phone, text, and email throughout their care journey. Clearly and confidently discuss pricing, care plans, and payment options when families have questions. Help families feel confident in their decision to be here. Keep our CRM and scheduling systems organized (we use GoHighLevel and ClickUp, we will train you on both). Keep the clinic flow tight, calm, and on schedule, even on busy days when you are the only one at the front Assist with email communications and simple clinic outreach. Help us build and refine our front-desk playbook as you learn the role. This Role Is Built for Someone Who Stays calm under pressure and figures things out. You do not freeze when there is no manual Is warm and emotionally intelligent. Families feel safe around you, even when you are still learning Is comfortable talking about money and financial commitments without flinching or apologizing Picks up new software quickly and figures things out independently. You click around before you ask for help Takes ownership, not just direction. You care whether the family showed up, not just whether you sent the reminder Loves working with moms, babies, and families What Sets You Apart Experience in any fast-paced, client-facing role (healthcare, hospitality, retail, childcare, education, wellness) A track record of figuring things out in environments that were not perfectly structured Comfort or familiarity with CRMs, scheduling platforms, or project management tools Coursework or a degree in health sciences, communications, business, psychology, public health, or child development Genuine interest in pediatric wellness, holistic health, or nervous system care This Role Is Not a Fit If You Need a fully structured environment with detailed procedures for every situation before you feel comfortable Avoid phone calls or feel anxious in face-to-face interactions Shut down when the conversation turns to pricing or financial commitments Prefer to blend into the background rather than being the face and voice of the practice What to Expect in the First 90 Days We believe in being upfront: we are a small, growing practice. You will get dedicated training sessions, written SOPs, and ongoing support. You will also encounter situations that are not in any manual yet. We want someone who finds that energizing, not overwhelming. At 90 days, we will do a formal check-in and wage review together. Schedule Shifts between 9:00 AM - 7:00 PM, Monday - Friday | 30+ hours/week | In-clinic only (4187 Piedmont Ave, Oakland, CA) Compensation & Perks $22-26/hour based on experience Complimentary chiropractic care for you and your immediate family Real mentorship and hands-on experience inside a growing wellness practice Wage review at 90 days, growth is built into this role A clear path to expand your responsibilities and compensation as we scale
