Job Description
The PR Coordinator plays a key role in overseeing and supporting both the operational and strategic functions of the PR department. This position leads and coordinates all day-to-day PR operations, including employee changes, benefits, leave management, workers' compensation, employee relations, safety, and organizational compliance. The PR Coordinator partners with leadership to support workforce initiatives, ensure regulatory compliance, improve processes, and promote consistent practices aligned with agency policies, goals and values.
Qualifications:
Bachelor's degree in human resource management Human Resource certification such as SHRM or PHR Minimum of five years of progressive experience in Human Resources Minimum of two years of supervisory experience in Human Resources field Knowledgeable in federal, state, and local labor laws and regulations, and ability to effectively interpret and communicate policies. Proficiency with Human Resource Information Systems (HRIS) and have ability to learn new software programs. Proficient in Microsoft Office Suite, Outlook, Excel, Word. Strong organizational, analytical, detail-oriented, and communication skills. A valid California driver's license is required of staff who have regular driving duties, and the driving record must meet the requirements of their position and be approved by the agency's insurance company.Essential Job Functions:
Ensure compliance with driving requirements, including maintaining a valid driver's license, current vehicle registration, and proof of insurance as required by agency policy. Demonstrated ability to work in highly confidential position and maintain confidentiality of agency business. Strong organizational and interpersonal skills, sound judgment, and the ability to manage multiple priorities with a high degree of urgency and follow through. Ability to understand significance of department consistency and knowledge. Demonstrated ability to maintain professional boundaries and work harmoniously with others. Ability to work with cultural/ethnic diversity. Physical, mental and emotional health are adequate to perform duties.Responsibilities:
Responsible for implementing leadership development concepts in staff oversight including time management, purposeful coaching and development, effective communication, and meeting facilitation. Manage day-to-day operations and ensure compliance with all personnel legal requirements, including staff oversight, hiring, scheduling meal periods, and approving time sheets. Provide training and guidance/mentorship of frontline staff. Collaborate to develop and expand department/program services, track relevant metrics, and make modifications as needed. Implement department/program objectives. Promote a healthy working environment that values staff and equips them to succeed while making sustainable decisions in a way that strengthens both our workforce and our impact. Develop the annual budget for the program/department and collaborate on budget reports. Develop and collaborate on program/department grants and RFPs. Responsible for contract review and ensuring deliverables are met. (Maintenance) Responsible for executing organizational strategies and initiatives. Ensure compliance with regulatory requirements (such as HIPAA) for reports, records, and policies as outlined in contracts. Develop and maintain procedural manual for program operations. Responsible for identifying and mitigating risks associated with potential adverse events, outcomes, or behaviors stemming from legal, ethical, or operational process breakdowns. Accountable for the outcomes of their program or area of responsibility through a mindset of ownership, continuous improvement, and follow-through. Administer and process employee changes including job status (exempt/non-exempt), salary updates, title changes, and other employment actions; ensure accuracy, proper approvals, and compliance with organizational policies and labor laws Ensure maintenance of all employee files in legal accordance. Supervise the administration of agency benefits, COBRA programs, leaves of absences, workers' compensation, disability/accommodation requests, separations, and unemployment claims in collaboration with the PR Advisor. Oversee and monitor the performance assessment process for compliance. Work with insurance brokers to research and provide recommendations for employee benefit packages and workers' compensation carriers. Lead employee investigations and performance management issues including, terminations, for cause drug testing, and discrimination/harassment claims, employee safety, and performance concerns. Attend outside hearings on behalf of the agency regarding unemployment and workers' compensation claims, employee equal opportunity, and any other labor board issues or lawsuits under the supervision of the Director of PR. Ensure compliance with applicable federal, state, and industry-related employer reporting requirements. Prepare, review, audit, and submit all required reports by specified deadlines (i.e., EEO-1, CA Pay Data, andOSHA 300
) and health insurance related tax forms (i.e., 1094 and 1095-C). Create and update all employment and independent contractor contracts. Collaborate with the Director of PR to maintain the employee handbook. Monitor and evaluate agency policies and procedures for effectiveness, identify problem areas, and recommend solutions. Leads and supports continuous improvement efforts related to PR operations, HRIS functionality, workflows, reporting processes, and departmental systems to enhance efficiency, compliance, and employee experience. Partner with the Manager of People and Culture to enhance employee engagement. Work in close collaboration with agency leadership by providing guidance, coordination, and support. Responsible for preventing and controlling infection. Responsible for maintaining a culture of quality and safety. Responsible for reducing the risk of injury to clients, staff, and visitors.Other:
Attend all required meetings and trainings. Report any suspected child or dependent adult/elder abuse or neglect immediately to direct supervisor or utilize the chain of command if supervisor is unavailable. Report any client imminent danger to self or to others or gravely disabled immediately to direct supervisor or utilize the chain of command if supervisor is unavailable. Other duties as assigned.
