In this vital role, you will serve as the friendly face and efficient coordinator at the front desk, managing daily operations with enthusiasm and professionalism. Your organizational skills and customer service expertise will ensure smooth check-ins, appointments, and inquiries, creating a warm environment that pet lovers trust and appreciate. This paid position offers an exciting opportunity to combine your love for animals with dynamic office management responsibilities. Duties Greet clients and their pets warmly, providing exceptional customer service from the moment they arrive. Manage multi-line phone systems to answer inquiries, schedule reservations, and relay important information accurately. Handle check-ins and check-outs efficiently using computer systems, ensuring all pet records are up-to-date. Maintain organized filing systems for pet records, invoices, and other administrative documents. Assist with data entry tasks such as updating client information and processing payments. Support office management tasks including calendar scheduling, appointment confirmations, and follow-up communications. Ensure proper phone etiquette is maintained at all times while providing support to clients with clarity and professionalism. Qualifications Proven experience in front desk or office management roles, preferably within a customer service environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills. Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting. Bilingual abilities are highly desirable to assist a diverse client base effectively. Experience with clerical tasks such as proofreading, filing, and bookkeeping is preferred. Familiarity with multi-line phone systems and office equipment is essential. Demonstrated customer support skills combined with professional phone etiquette and quick problem-solving abilities. Prior experience in personal assistant roles or calendar management will be considered an asset.
