Job Description
JOB Performs responsible administrative and technical support work for the Planning and Transportation departments, including coordinating office operations, preparing and maintaining records and reports, assisting with data tracking and analysis, and supporting departmental projects and initiatives. Work involves frequent interaction with staff, stakeholders, and the public, as well as handling sensitive or detailed information with accuracy and discretion.
This position provides administrative support to both the Planning and Transportation departments and reports to the Director of Planning.
Prepares, formats, and maintains a variety of planning and transportation-related documents, including reports, presentations, maps, public notices, and technical materials, ensuring accuracy and consistency across platforms.
Serves as a point of contact for developers, consultants, and the public by responding to inquiries, explaining departmental processes (e.g., permitting, development review, and transportation initiatives), and directing requests to appropriate staff.
Performs financial and project-related administrative functions, including processing invoices and contracts, tracking project expenditures, supporting grant reimbursement activities, and assisting with budget and special fund monitoring.
Maintains and organizes department records, databases, and filing systems related to planning applications, transportation projects, and regulatory documentation, ensuring compliance with applicable policies and efficient retrieval of informationCollects and compiles data to support planning studies, transportation initiatives, and reporting requirements, generating summaries and reports to assist staff with analysis and decision-making.
Supports daily office operations by coordinating logistics for meetings, public hearings, and outreach efforts; managing supplies and equipment; and assisting in the development and improvement of administrative procedures.
Delivers high-quality customer service by assisting visitors, handling inquiries and concerns, and supporting community engagement efforts related to planning and transportation programs.
Collaborates with staff, partners, and vendors to support project coordination, onboarding and training activities, and the overall effectiveness of Planning and Transportation services.
