Production Administrator Job Brief:
We are seeking a detail-oriented and proactive Production Administrator to join our team. This position is ideal for a motivated, focused professional with a strong ability to multitask, think critically, plan effectively, and communicate clearly. Founded in 1976 near Philadelphia, we are a family-owned professional enterprise with remarkable growth. Our expertise lies in exterior construction, with a specialization in James Hardie Siding and GAF Roofing products. You'll have the opportunity to join a motivated team and contribute to the continued success of the organization. As a Production Administrator, you will play a pivotal role in ensuring the smooth operation of production functions. In this role, you will have the opportunity to: Production Coordination Collaborate with the production, finance, and project management teams to ensure seamless execution of projects. Monitor timelines, align resources, and oversee progress to meet project milestones efficiently. Project Documentation Manage and maintain accurate records, including contracts, customer profiles, schedules, and checklists. Ensure critical details are updated in systems like CRM platforms and shared with relevant team members. Scheduling and Resource Management Organize project schedules, assign team members, coordinate equipment deliveries, manage subcrew assignments, and handle logistics to maximize operational efficiency. Work closely with the production team to ensure seamless scheduling and communication for all aspects of the project, including homeowner notifications and site deliveries. Permits and Compliance Procure building permits for all projects, including gathering and submitting all necessary documents. This role may require in-person meetings and document drop-offs at various municipalities, so personal transportation may be needed. Customer Engagement Act as a key point of contact for customers, keeping them informed of progress, addressing inquiries, and ensuring a positive experience throughout the duration of their project. End-of-Project Processes Coordinate the closeout of completed projects by verifying all deliverables are met, ensuring records are finalized (including warranties), and managing follow-up tasks such as customer feedback and reviews.Qualifications:
Proven multitasking skills and the ability to adapt to shifting priorities in a dynamic environment Strong communication and interpersonal skills to collaborate effectively with cross-functional teams and customers 3-5 years of experience in administrative support, customer service, or project coordination Familiarity with production management systems, CRM platforms, and other digital tools A proactive, solutions-oriented mindset with a focus on delivering resultsBenefits:
