Department:
The Program Coordinator's daily work balances proactive planning with responsive support across both the Gulf Scholars Program and CLA research and creative activity initiatives. On a typical day, the coordinator may: Respond to student, faculty, and partner inquiries related to program participation, funding opportunities, deadlines, and events. Track student engagement, faculty participation, and program milestones using spreadsheets or institutional systems. Coordinate logistics for upcoming meetings, workshops, seminars, or showcases, including scheduling, room reservations, materials, and communications. Draft and disseminate routine communications such as reminders, announcements, and updates. Maintain accurate records for applications, awards, participation, and outcomes. Meet with program directors or CLA leadership to review priorities, timelines, and emerging needs. Provide hands-on support to students navigating experiential learning, research, or creative projects by connecting them to resources and clarifying expectations. Advance longer-term projects, such as preparing reports, improving workflows, updating websites, or supporting assessment and evaluation activities. Work rhythms may shift throughout the academic year, with heavier activity during application cycles, events, reporting periods, and student-facing milestones. Measures of Success Success in this role is reflected in both operational effectiveness and the quality of support provided to students and faculty.
Indicators of success may include:
Program Operations and Administration Programs, events, and funding cycles run smoothly, on time, and in compliance with college and university policies. Accurate and well-organized records are maintained for students, faculty, funding, and activities. Program leadership receives timely, reliable information to support decision-making and reporting. Student and Faculty Support Students report clear communication, timely responses, and positive experiences navigating program requirements. Faculty and mentors experience reduced administrative burden and effective coordination. Participation in Gulf Scholars and CLA research and creative activity initiatives is sustained or increased. Communication and Coordination Deadlines, opportunities, and expectations are communicated clearly and consistently. Events and initiatives are well-attended and appropriately supported. Strong working relationships are maintained with campus and community partners. Continuous Improvement and Impact Data and feedback are used to improve processes, programming, and student support. Assessment and reporting needs are met with minimal need for rework or follow-up. The coordinator demonstrates reliability, adaptability, and sound judgment while managing a split portfolio.

Interacts regularly with project sponsors and stakeholders; use appropriate project management strategies for implementing requirements across a broad range of programs and initiatives. Creates project artifacts, agendas, presentations, and meeting minutes for project team. Assists in training new staff members in processes and procedures. May provide guidance and direction to other staff, especially as it pertains to the use of tools for effective project management. Rectifies day to day issues. Promotes and follow the objectives, priorities, and goals of projects through best practices and industry standard methodologies; participates in professional development activities in the practice of project and portfolio management. Provides guidance to stakeholders, especially as it pertains to the use of tools for effective project management.
