POSITION OVERVIEW
We are seeking a hands-on Property Manager to take primary responsibility for the day-to-day operations of a commercial real estate portfolio. This role owns the full operational cycle — lease administration and documentation, tenant relations, physical property inspections, vendor management, and financial reporting. The ideal candidate is proficient in property management software (Yardi or comparable), comfortable drafting leases and related documents independently, and able to develop and maintain structured workflows and reporting. This is a field-intensive, in-person role that requires initiative, strong follow-through, and the ability to manage multiple priorities with minimal supervision.
KEY RESPONSIBILITIES
Lease Administration & Documentation
  • Draft, review, and execute leases, amendments, renewals, and related documents using Yardi or a comparable platform; ensure leases are accessible in the tenant portal.
  • Maintain lease abstracts and track all critical dates — expirations, options, rent escalations — and proactively develop renewal plans ahead of key deadlines.
  • Standardize lease documentation processes and maintain organized, shared lease files.
  • Verify default language in leases and prepare appropriate next steps per lease terms when needed; escalate and obtain approval before initiating default proceedings. Property Inspections
  • Conduct and oversee quarterly property inspections across the portfolio; review inspection reports, track action items, and ensure timely resolution.
  • Coordinate a rolling inspection schedule (targeting 2-3 properties per month); generate work orders and follow up to confirm completion.
  • Identify deferred maintenance and capital improvement needs; document findings and escalate with supporting detail.
  • Ensure properties meet safety, code, and operational standards. Vendor Management
  • Build and maintain an approved vendor list across properties, including scope of work, bid status, and insurance compliance.
  • Source, onboard, and manage vendors for routine services and project-based work; obtain competitive bids where appropriate and monitor performance against agreed scope and budget.
  • Oversee tenant improvement projects from contractor selection through closeout.
  • Maintain current certificates of insurance and executed agreements for all active vendors. Tenant Relations & Onboarding/Offboarding
  • Serve as the primary operational contact for tenants; respond to requests and maintenance issues promptly and professionally.
  • Manage tenant onboarding and offboarding processes, including introductory correspondence, utility transfers, space condition documentation, and portal setup.
  • Monitor rent collection; track and communicate on delinquencies per established aging and collections workflow.
  • Ensure insurance compliance for all tenants; send notices to those with missing or lapsed certificates. Reporting, Financial Oversight & KPIs
  • Develop and maintain standard reports covering aging/delinquency, lease expirations, inspection action items, project status, and tenant improvement tracking.
  • Support CAM/NNN reconciliation processes and water billing reconciliation; review vendor billings and adjust as needed.
  • Assist in annual budget preparation; monitor actuals, flag variances, and contribute to monthly financial review.
  • Participate in weekly property management meetings and provide timely updates on all active items.
REQUIRED SKILLS & QUALIFICATIONS
  • 3-5 years of commercial property management experience (retail, office, or mixed-use preferred).
  • Proficient accounting and property management platforms, ability to train on new softwares — lease entry, work orders, tenant portal, and reporting.
  • Demonstrated experience drafting leases, amendments, and related real estate documentation.
  • Experience conducting property inspections and managing vendors and contractors.
  • Strong financial acumen — comfortable with budgets, CAM/NNN reconciliations, aging reports, and expense tracking.
  • Highly organized; able to manage structured workflows, recurring deadlines, and multiple properties simultaneously.
  • Strong written and verbal communication skills; professional and responsive with tenants, vendors, and team.
  • Self-directed and proactive — able to take primary responsibility and delegate or escalate as appropriate.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Yardi, QuickBooks).
EDUCATION
Bachelor's degree preferred. Equivalent professional experience will be considered. Real knowledge CPM designation a plus.
PHYSICAL REQUIREMENTS
Regular property visits required. Must be able to walk and inspect properties of varying sizes, navigate construction environments, occasionally lift up to 25 lbs, climb ladders, and work outdoors in varying weather conditions.
