Job Description

Title:
Property Manager Reports to: Director of Property Management of Alden Realty Services, Inc.
Job Responsibilities:
  • This individual will be a bright and dynamic leader with hands-on experience and the demonstrated ability to successfully manage staff and oversee day-to-day operations.
  • Demonstrate a high level of property management expertise, analytical ability, financial acumen, real estate software knowledge (Yardi), ability to multi-task and deal with stress.
  • Solid verbal, written and customer service communication skills and familiarity with Microsoft Office suite.
  • Strong background in property management operations.
  • Confidence in creating effective solutions for how to deal with challenges or problems.
  • Certified as a Tax Credit Specialist and Certified Occupancy Specialist to manage all deliverables related to initial certification and annual recertification of incoming and renewing residents.
  • Ensure compliance with all
HUD/IDHA/LIHTC
regulations and managing workflows related to all Agency and Lender audits and inspections.
  • Must have a valid Driver's License, reliable access to a personal vehicle, automobile insurance coverage as use of personal vehicle will be required to manage operations which may require travel to sister communities, the corporate office, the bank, etc.
  • Execute the financial and operational objectives established by the company and ensure compliance with all federal, state and local laws is maintained.
  • Oversee contractors or maintenance teams for repairs, renovations, or emergency work.
  • Conduct move-in, move-out, and routine property inspections to assess conditions and damages.
  • Ensure that systems are in place or created to maximize resident and employee safety and health, and to preserve the physical assets.
  • Manage resident re-certifications, rent increases, utility allowance changes, occupancy level, controlled expenses, customer satisfaction, management reviews, REAC/Agency Inspections, etc.
  • Prepare all reports, including monthly management, weekly marketing, delinquency/occupancy, bad debt write-off, and expense reports.
  • Give prospective tenants in-person tours of available rentals.
  • Manage resident selection procedures to ensure adherence to Affirmative Fair Housing Marketing Plan and Tenant Selection Criteria.
  • Handle disputes, lease violations, or evictions that require face-to-face communication.
  • Manage all accounts payable and receivable workflows, remaining compliant with company policies and procedures.
  • Address urgent/emergency issues like plumbing failures, power outages, or life safety or other security concerns that require immediate attention
  • Maintain a <1% delinquency monthly.
  • Coordinate on-site work and verifying the quality of services performed.
  • Conduct monthly activity planning resident meetings as well as produce a monthly resident newsletter/activity calendar. Must be able to manage all resident events to ensure top resident satisfaction.
  • Seek opportunities to enhance communications and to build collaborative relationships with supervisors, peers, subordinates and residents.
  • Work to recruit, train, motivate and retain the highest caliber property management staff for all positions within the assigned portfolio.
  • Make sure safety features (e.g., smoke detectors, fire extinguishers) are in working order and the property meets local housing codes.
  • Prepare for and attend regular on-site meetings with the property management staff and residents.
  • Oversee amenities like gyms, lobbies, or pools to ensure cleanliness and proper maintenance and conduct daily property walks to ensure asset management/preservation.
  • Work to recruit, train, motivate and retain the highest caliber property management staff for all positions at the property.
  • Complete other tasks assigned by the ARS Director Team.
  • Reporting to a Director of Property Management, the successful candidate will thrive in a team-oriented environment and should possess the following: Ability to manage maintenance teams and asset preservation programs/workflows, marketing and leasing activity, occupancy, financial analysis/management, budget preparations and annual tenant certifications.
  • Leadership skills to create the trust & influence needed to effectively manage a property and its residents.
Qualifications and Competency Requirements:
  • 2- 4 years of LIHTC property management experience preferred.
Comprehensive knowledge of LIHTC regulations and compliance requirements.
Preferred certifications:
(1) Low Income Housing Tax Credit Compliance Specialist, (2) Certified Occupancy Specialist, (3) Blended Occupancy Specialist, and (4) Fair Housing & Affirmative Marketing Certification. Certified Property Manager certification is also preferred.
  • Strong organizational and multitasking skills, with the ability to manage multiple priorities.
  • Excellent communication and interpersonal skills, with a commitment to providing exceptional customer service.
  • Proficient in property management software and Microsoft Office Suite, experience with Yardi a plus.
  • Ability to work independently and as part of a team.
  • Must have a valid Driver's License, reliable access to a personal vehicle, automobile insurance coverage as use of personal vehicle will be required.
  • Leasing agent license is preferred (must be obtained within 90 days of hire).
  • Proficient in computer systems related to property management and general office functions
  • Proficiency with applications including Yardi, Microsoft Word, Excel, Power Point, and Outlook highly preferred
  • Ability to focus on the tasks and details relevant to the position and the organization, while also switching quickly between tasks
  • Ability to identify and resolve issues related to property management
  • Ability to exercise excellent independent judgment and take ownership of decisions
  • Ability to think on a broad, systems-level relative to the scope of the position
  • Ability to work independently and self-manage to achieve goals while being a strong team player
  • Ability to organize, meet deadlines, and delegate appropriately
  • Ability to cope with and embrace change, risk, and uncertainty
  • Ability to develop strong relationships within a collaborative setting that values diverse opinions; enthusiasm for helping drive change as ARS becomes a more data-driven organization
Work Schedule and Location:
Monday to Friday, in-person at the property office.
