We currently manage over 450 units across single-family and multi-family properties in New Jersey Position Overview We are seeking an experienced Property Manager to take full ownership of a portfolio of 200-250 units. The Property Manager serves as the primary point of contact for property owners, ensuring that every property in their portfolio is well-maintained, in full compliance with applicable regulations, and operating in alignment with each owner's investment objectives. This is a hybrid field-and-office role. The Property Manager spends a meaningful portion of each week conducting on-site inspections, attending township appointments, and visiting properties for maintenance escalations, while also managing owner communications, tenant escalations, work orders, lease renewals, and portfolio oversight from our office. Daily Operations The Property Manager begins each business day with a structured review of their portfolio: Review and triage all incoming tenant and property-related emails and work orders in HelpScout and AppFolio Review the daily delinquency report to remain fully informed on rent collection status across the portfolio (the Property Manager does not collect rent, but is expected to know where each owner stands for ongoing owner conversations) Review the daily vacancy report and drive immediate action on any unit not yet turned, listed, or moving toward lease signing — turnaround speed is a core measure of performance Confirm follow-up on all open owner and tenant items from the prior day before turning to new work Primary Responsibilities (Direct Execution) Owner Relationship Management — Serve as the primary point of contact for all property owners within the assigned portfolio. Conduct new owner onboarding calls, send welcome materials, manage ongoing communications, and proactively notify owners of any material event affecting their property. This is a big part of the big, owner relations and comunication. Property Inspections — Conduct move-in inspections, move-out inspections, rent-ready evaluations prior to listing, and on-site maintenance escalation visits as needed. New Property Onboarding — Lead the onboarding process for newly acquired properties. Turn Estimate and Security Deposit Reviews — Manage owner conversations regarding turnover scope, repair budgets, and security deposit deductions, including documentation and approvals. Tier 2 Tenant Escalations — Resolve tenant matters that require advanced judgment or decision-making, including lease enforcement, delinquent rent, disputes, and legal coordination. Lease Renewals and PMA Renewals — Approve renewal pricing in alignment with market data, drive renewals to completion. Court Appearances — Represent ownership at landlord-tenant hearings and other legal proceedings when required. Oversight Responsibilities (Accountable for Outcomes; Team Provides Support) Maintenance Oversight — Oversee all work orders across the assigned portfolio from initial request through resolution. Our Maintenance Coordinator manages intake, dispatch, vendor scheduling, and invoice tracking. The Property Manager is responsible for sourcing and reviewing estimates that require owner approval, managing maintenance escalations, and conducting owner conversations regarding scope, cost, and timeline. Property Compliance — Ensure every property in the portfolio remains in full compliance with applicable regulations. This includes DCA registrations, township inspections (Certificate of Occupancy, fire, lead, smoke/CO detector), rental certificates, fire escape certifications, common area maintenance requirements, utility transfers, and municipality-specific obligations. The Property Manager is responsible for tracking expirations, scheduling renewals, and resolving issues with township officials. Turnover and Vacancy Management — Drive every vacant unit through turnover and onto the leasing market as quickly as possible. The Property Manager coordinates with the Maintenance Coordinator on turn scope and timeline, and partners with the Leasing Manager to ensure rent-ready units are listed without delay. Leasing Coordination — Partner with the Leasing Manager, who manages listings, showings, applications, screening, and lease preparation. The Property Manager approves applicants, sets renewal pricing, and attends weekly leasing meetings to ensure alignment. Tenant Onboarding — Partner with the Resident Coordinator, who manages tenant invites, portal activation, and welcome communications. The Property Manager confirms tenant data accuracy and reviews any past-due balances at onboarding. Success Metrics The Property Manager will be evaluated on the following outcomes within the first twelve months: Strong owner relationships, evidenced by consistent owner satisfaction and minimal churn within the portfolio Lease renewal rate above 70% on eligible renewals Zero compliance lapses across all properties in the portfolio Minimized vacancy duration — vacant units turned and listed promptly, with measurable reductions in days-on-market Timely resolution of maintenance escalations with proactive owner communication Accurate, well-documented portfolio reporting reviewed at weekly team meetings Qualifications 2+ years of experience in property management, real estate, or related operational role preferred Valid driver's license and reliable transportation (field work is a core component of the role) Strong written and verbal communication skills, with a demonstrated record of proactive follow-up High attention to detail and consistent follow-through across competing priorities Proficiency with property management software (AppFolio preferred), task management platforms (Asana), email and helpdesk tools (HelpScout), and Slack Working knowledge of New Jersey residential property regulations preferred Our Values We hire and operate on the principles of autonomy, clarity, organization, follow-through, and documentation.
