Job Description

Overview We are seeking a dynamic and highly organized Public Safety Administrative Coordinator to join our team. The Public Safety Administrative Coordinator performs a variety of confidential administrative, clerical, technical, and public records functions in support of both the Police and Fire Departments. This position serves as administrative support to the Police Chief and Fire Chief and plays an important role in the day-to-day operations of both departments. The position requires frequent interaction with the public, city officials, employees, and outside agencies, requiring professionalism, discretion, strong organizational skills, and excellent customer service. Responsibilities include records management, bookkeeping, payroll and billing support, public records processing, permit administration, and general office coordination. Work is performed independently under general supervision and requires sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Public Safety Administrative Assistant is expected to support and promote these values in all aspects of the position. Provide administrative support to the Police Chief and Fire Chief. Answer phones, greet visitors, and respond to public inquiries in person, by phone, and electronically. Maintain confidentiality of sensitive department and personnel information. Prepare reports, correspondence, records, and departmental documents. Maintain filing systems, databases, and department records. Order office supplies and process invoices for payment. Prepare deposits and maintain accounting and bookkeeping records. Perform related duties as assigned by department leadership or the City of Tipton. Maintain personnel, payroll, and departmental records. Support the day-to-day operation of departmental computer and records systems. Maintain attendance and departmental activity records. Monitor departmental budget line items and maintain financial databases. Accept payments and issue receipts for parking tickets, permits, and other departmental transactions. Process and maintain public records requests in compliance with applicable laws, regulations, and policies. Cover receptionist duties as needed. Other duties as assigned. Education and Experience High school diploma or equivalent required. Post-secondary education or administrative training preferred. One year of responsible office or administrative experience preferred. Equivalent combinations of education and experience may be considered. Knowledge, Skills, and Abilities Knowledge of office administration, customer service, bookkeeping, and records management practices. Proficiency in office software systems. Ability to learn department-specific software and database systems. Strong organizational skills and attention to detail. Ability to multitask and prioritize work effectively. Ability to communicate clearly and professionally, both orally and in writing. Ability to work independently and maintain effective working relationships with staff, officials, agencies, and the public. Ability to handle confidential information with discretion. Notary Public certification or ability to obtain within one year preferred. Physical Requirements The physical demands described are representative of those required to successfully perform the essential functions of this position. Work Environment Work is primarily performed in a standard office environment with frequent interruptions and regular interaction with the public and staff. The noise level is generally moderate.
