Job Summary:
The Purchasing Agent plays a key role in supporting daily purchasing and supply chain operations within a fast-paced manufacturing environment. This position is responsible for coordinating with suppliers, issuing and monitoring purchase orders, maintaining inventory and safety stock levels, and helping ensure materials and services are delivered on time and according to specifications. The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities while collaborating effectively across departments to support operational efficiency and production needs.
Key Responsibilities:
Ensure purchase orders, drawings, and supporting documentation provided to suppliers contain accurate and sufficient information to support material requirements. Coordinate directly with supplier representatives regarding purchased products and services. Ensure suppliers are approved for the materials and services being provided, including coordinating new supplier approval submissions as needed. Ensure products and services are delivered in the correct quantities, within required timelines, and according to established specifications. Review purchasing requests and issue purchase orders as needed to support timely delivery requirements. Monitor open purchase orders and follow up with suppliers to help ensure on-time delivery. Coordinate with quality personnel to resolve issues related to non-conforming materials as needed. Coordinate supplier returns with shipping personnel and communicate return details to accounts payable as needed. Complete required documentation and coordinate approval processes for new suppliers, including entering approved suppliers into the company ERP system. Review and maintain appropriate safety stock levels for purchased materials and inventory items. Perform additional purchasing-related duties and responsibilities as assigned.
Qualifications Required:
High school diploma, GED, or seven (7) years' work experience Minimum of five (5) years of purchasing experience. Valid driver's license and proof of insurance. Acceptable driving record in accordance with company standards. Knowledge of purchasing practices and the ability to apply industry best practices. Strong mathematical skills, including the ability to convert between units of measurement. Proficient in using ERP/MRP systems and Microsoft Office applications, including Excel and Word, with intermediate-level computer skills. Strong communication and negotiation skills with the ability to work with suppliers to support quality, delivery, and pricing objectives. Ability to manage multiple priorities in a fast-paced office environment while collaborating effectively with others. Ability to compile, analyze, and interpret data effectively. Strong interpersonal skills with the ability to coordinate effectively across multiple departments.
Preferred:
Prior experience working in a manufacturing environment. Experience using manufacturing ERP or production management software systems. Purchasing certification or bachelor's degree in a related field.
Physical Requirements:
Sedentary work involving extended periods of sitting and computer use for document creation and administrative tasks. Frequent communication through telephone calls, email, and other electronic correspondence. Occasional standing and walking to support filing, scanning, and general administrative tasks. Participation in meetings. Ability to occasionally lift and carry up to 10 pounds.
