Job Description:
Position Summary The Receptionist is the first point of contact for employees, clients, and visitors and plays a key role in creating a professional, welcoming environment that reflects the firm's standards. This role also provides administrative and operational support across multiple departments to ensure smooth daily operations. Location This position is located in Mayfield Heights. It is an on-site role Monday - Friday, 8:00am - 5:00pm. Primary Job Responsibilities Reception Duties Greet and assist all visitors in a professional, courteous, and efficient manner Answer and route incoming phone calls to the appropriate individual Maintain building security by following Ancora procedures and managing the visitor logbook Coordinate incoming and outgoing mail and courier services (USPS, FedEx, UPS, etc.) Receive and distribute courier packages to the appropriate internal parties Sort and distribute incoming Ancora mail Organize and distribute tenant mail within designated building areas Administrative & Operational Support Provide general administrative support across departments as needed Assist with office coordination tasks and day-to-day operational needs Support special projects and additional duties as assigned Secondary Job Duties Other duties as assigned Education and Work Experience Qualifications High School Diploma, required 3+ years of administrative or related professional experience 2+ years of experience in a professional client-facing environment Microsoft Team and Zoom experience, preferred Required Skills Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) Excellent verbal and written communication skills with a professional demeanor Strong organizational skills with a high level of accuracy and attention to detail Ability to manage multiple tasks and priorities effectively Strong work ethic and reliability Ability to follow established policies and procedures consistently Professional appearance and customer-focused attitude
