Job Description

Position Summary, Receptionist and Office Support Innovative Professional Solutions, Inc. (IPS)—a successful defense contractor located in Panama City Beach, Florida—has provided exceptional support to our Naval Surface Warfare Center Panama City Division (NSWC PCD) customers for more than 20 years. Our benefits include health, dental, vision, life insurance, as well as 401(k) plan and paid time off. We are looking for a capable Receptionist to join our administrative team. This individual must be detail oriented, energetic, honest, skilled in Microsoft Office, a strategic problem solver, a team player, flexible, professional, and have excellent communication skills. Daily operations will include, but are not limited to, the following: answering telephones, transferring calls, taking messages, greeting customers and guests upon arrival, ensuring proper sign-in of customers and guests, assisting with procurements, and clerical day-to-day administrative support activities necessary to accomplish the work of the organization. Highlights of Responsibilities Provide receptionist services such as: greeting customers and guests, answering the telephone and directing calls, taking messages, and guiding deliveries to the proper entrance. Use Microsoft Office in preparing a variety of correspondence required for day-to-day office operation. Design and organize filing systems. Develop, prepare, and edit documents and forms. Assist with preparation of purchase requests and purchase orders. Receive, process, and verify accuracy of incoming shipments. Maintain and update data in online and manual filing systems, including shipment tracking and delivery information. Correspond with ordering employees to confirm receipt of deliveries.
Required Education, Experience, and Certifications:
High school diploma. Minimum one (1) year of experience with Microsoft Office (Outlook, Word, PowerPoint, and Excel). Eligible to obtain and maintain a Secret security clearance.
Desired Qualifications:
Professional writing, verbal, and interpersonal communication skills. Proficiency with data entry using Microsoft Excel. Demonstrates exceptional interpersonal skills. Able to successfully complete multiple projects on time and adapt to changing priorities. Demonstrates ability to provide accurate attention to details. Possesses excellent organizational skills. Requires minimal supervision. Able to assess and solve problems independently. Ability to maintain confidentiality of information and exercises good judgment and discretion when handling and disseminating information.
Travel:
No travel is required at this time.
Tools and Technology:
Most work will be conducted on a computer provided by Innovative Professional Solutions (IPS). Various web-based tools will be used.
Working Conditions/Environment:
Work will primarily be conducted at an IPS office. IPS is a drug-free employer. Proof of U.S. citizenship will be required prior to employment at IPS.

From $18.00 per hour
