Job Description
Job Overview We are seeking a professional and personable Receptionist to join our dynamic team. The successful candidate will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while managing a variety of administrative and clerical tasks. This role is vital in maintaining efficient office operations, providing exceptional customer service, and supporting overall office management. The ideal applicant will demonstrate excellent organizational skills, proficiency with office technology, and a strong commitment to professionalism. Responsibilities Greet visitors and clients warmly, directing them appropriately and maintaining a professional front desk presence Manage multi-line phone systems, answer inquiries promptly, and transfer calls efficiently using proper phone etiquette Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution Maintain accurate scheduling by managing calendars and appointment bookings for staff members Perform data entry tasks with high accuracy using Microsoft Office Suite and Google Workspace applications Organize filing systems—both electronic and physical—to ensure easy retrieval of documents Assist with basic bookkeeping duties such as invoicing and record keeping using QuickBooks or similar software Support office management activities including supply inventory, ordering materials, and maintaining cleanliness Provide administrative support to various departments as needed, including proofreading documents and preparing reports Maintain confidentiality of sensitive information while delivering exceptional customer support to clients and visitors Experience Prior experience in office administration or clerical roles is preferred, ideally within a healthcare or professional services setting such as dental or medical offices Demonstrated proficiency with computer literacy tools including Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) Experience managing multi-line phone systems and providing exemplary phone etiquette Bilingual abilities are highly desirable to serve diverse client populations effectively Familiarity with office management tasks such as filing, data entry, calendar management, and basic bookkeeping using QuickBooks or similar software Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent written and verbal communication skills coupled with attention to detail for proofreading and document accuracy This paid position offers an opportunity to develop your administrative expertise within a supportive team environment.
