Job Overview We are seeking an energetic and detail-oriented Receptionist to be the friendly face and efficient coordinator at our front desk. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and welcoming experience. Your organizational skills and professional demeanor will help maintain a well-run office environment, supporting daily administrative operations with enthusiasm and precision. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, including emails, mail, and packages, with accuracy and timeliness Maintain appointment calendars, schedule meetings, and coordinate conference room bookings using calendar management tools Perform data entry tasks such as updating records in QuickBooks and other office software with high accuracy Organize filing systems, both digital (Google Workspace, Microsoft Office) and physical files, ensuring easy retrieval of documents Support office management activities including supply inventory, basic bookkeeping, proofreading documents, and general clerical duties Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Prior office experience or clerical experience demonstrating reliability and attention to detail Exceptional customer service skills with a professional attitude and positive communication style Bilingual abilities are highly valued to assist diverse clients and team members Familiarity with front desk procedures, phone etiquette, data entry, filing systems, and time management techniques Experience with medical or dental receptionist duties is a plus; knowledge of bookkeeping or QuickBooks is advantageous Join us as a Receptionist to make an impactful first impression while honing your administrative talents!
