Job Description
Job Summary Duties include correspondence and word processing services, clerical services for the Hope Hospice Bulverde Location. Responsible for meeting and providing information and direction to the public, both in person and over the phone, and for handling messages. Able to manage multiple phone lines. As a member of the Medical Records Team, assists in the compilation and maintenance of accurate and complete written and electronic patient medical records. As a member of the Outreach department the duties include assist with referral and admission process
Qualifications:
High School diploma and preferably college background Two years secretarial experience Proficient in Microsoft Office Suite, Access, and Publisher a plus, strong data entry skills Organizational skills: organized, flexible, diplomatic, and adept with multiple priorities Able to retain poise under pressure Ability to communicate well and get along well with public, patients, and staff Bilingual Spanish preferred. Sensitivity to the needs of the terminally ill, elderly, and grieving. Suitable personal appearance, behavior, attitude, and integrity Works well independently and deals effectively with people A team player -flexible, self-motivated, dependable, and works well with others Communicates effectively, both verbal and written Able to problem solve, make decisions, set priorities, and keep accurate and orderly Reliable transportation, valid Texas driver's license, and automobile insuranceDuties and Responsibilities:
Administrative/Clerical/Office Duties Provides the following for the ADS location Basic intake duties Obtaining needed signatures for compliance (DocuSign, phones, or fax) Basic office space organization and as needed Create and format documents using MS Word, Access, DocuSign, and Excel Receive employees/volunteers and visitors in a professional and courteous manner Maintain a follow-up system obtaining updated employee/volunteer personal information Visitor/caller Manages incoming phone calls and directs the caller to the appropriate staff member; emails staff as needed; takes or redirects messages appropriately, assuring prompt communication Receives visitors and callers, ensuring all are greeted in a professional and courteous manner. Provides information about hospice services and refers appropriately for in depth information. Staff Support Assures that messages and emails are given to staff in a timely manner. Maintains awareness of staff whereabouts throughout day. Team Recognition and organization as needed Data Entry Enters and submits Medicaid information to appropriate website for all eligible patients. Performs verification of Physician licensure and restriction status. Communicates any noted restrictions to Director of Patient Care Services. Enters information and revisions to location and physician maintenance lists in electronic record software. Assists in entering patient admission information in computer and completing medical records. Backup for Medical Record Compilation Compiles and maintains current, accurate and complete patient written and electronic medical records. Collects and sorts mailroom faxes and distributes to appropriate recipients. Collects, sorts and scans documentation in patients' medical records. Maintain HIPAA confidentiality Compile and maintain current, accurate, and complete electronic patient medical record Collect, sort, and scan documents into the patient's medical record. Prepare medical record requests from field staff or outside entities, such as insurance companies, state agencies, etc. Log, scan, and mail triplicates Weekly print nurse notes for patients that reside in facilities and distribute to nurse mailboxes Weekly, print IDT notes and distribute to nurse mailboxes. Maintain IDT hard copy notebook Audits patient electronic and written medical records for completeness and accuracy at time of admission, for each month of service; after completion of continuous level of care; and at time death, discharge or revocation. All missing documentation is listed, recorded in data base and distributed to all clinical employees and managers. General Support philosophy and objectives of Hope Hospice. The position requires manual dexterity, standing, walking, climbing stairs, bending, kneeling, and sitting for extended periods. Occasionally lift or move objects weighing up to 15 pounds. Travel There is no travel for this position. Some local day travel may be required.
