This vital role involves managing front desk activities, providing exceptional customer support, and supporting office management functions. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to create a positive first impression for visitors and clients alike.
GENERAL OFFICE DUTIES
  • Greeting visitors, clients, vendors and directing them appropriately
  • Manage multi-line phone system efficiently, routing calls using proper phone etiquette and taking clear messages
  • Maintain organized filing system skills
  • Managing office supplies inventory
  • Scheduling appointments and coordinating meetings via Zoom
  • Managing client files and intake logs
  • Typing emails and correspondence and proofreading documents
  • Data entry and light bookkeeping in Quickbooks when necessary
  • Managing accounts payable / receivables
EXPERIENCE REQUIRED
  • Bilingual (English and Spanish) (Fluent in English a MUST)
  • Minimum of 2 years experience as a receptionist
  • High level of communication skills
  • Active listening skills
  • Accurate typing of at least 45 wpm
  • Proficiency in Microsoft Office (Word, Microsoft Outlook, and Excel) / Zoom platform
  • Organizational calendar management
  • Proofreading documents
  • Dependable
