SUMMARY The Receptionist/Administrative Assistant serves as the first point of contact for visitors, clients, and callers while providing administrative and office support for the agency. This role balances front desk responsibilities with clerical and support tasks throughout the day. The ideal candidate is organized, professional, compassionate, and able to remain calm and courteous in a fast-paced environment serving families experiencing crisis and trauma. A high level of confidentiality, professionalism, and customer service is essential.
ESSENTIAL RESPONSIBILITIES AND DUTIES
Greet and assist visitors, clients, and guests in a professional and compassionate manner. Answer and route incoming phone calls and maintain front office coverage. Provide administrative support including printing, filing, scanning, data entry, and document preparation. Order office supplies and coordinate vendor calls and office service requests. Assist with onboarding tasks for new hires, including background screenings and workstation setup coordination with IT and phone vendors. Submit check requests, process mailings, and assist with donation data entry and recordkeeping. Support agency meetings and board preparation by assembling and organizing materials. Assist with grant billing support by organizing, adding needed documentation, and reviewing for accuracy. Maintain confidentiality of sensitive client, employee, and agency information. Manage multiple tasks and frequent interruptions while maintaining professionalism and accuracy. Perform other related duties as assigned.
REQUIREMENTS
Previous administrative, front office, or customer service experience preferred. Strong organizational and time management skills. Excellent customer service and communication skills. Ability to maintain confidentiality and professionalism at all times. Ability to multitask and adapt in a fast-paced environment. Comfortable interacting with individuals and families experiencing crisis or trauma. Proficiency in Microsoft Office and basic computer systems. Demonstrated sensitivity and ability in working with the diversity of the agency's population, including but not limited to, clients, staff, community partners, and board of directors. Ability to work in the office. (Please be advised: Position is NOT a hybrid/virtual role). Ability to walk, stand, climb stairs, kneel, bend, reach, and manipulate objects; lift and move materials up to 10 pounds on a regular basis; infrequently require moving materials weighing up to 20 pounds. Must have a reliable car, active auto insurance, and valid Florida driver's license. Successfully complete a Level 2 criminal background check, motor vehicle records check, and drug screening.
