Job Description
Job Summary We are seeking an organized Receptionist/Administrative Assistant to join our team! This energetic role is essential in creating a welcoming environment for visitors and clients while providing vital administrative support to ensure smooth office operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, both in person and over the phone. Manage multi-line phone systems efficiently, directing calls accurately and professionally. Handle front desk duties including scheduling appointments, and managing incoming correspondence. Perform data entry tasks with high accuracy using QuickBooks Online and Microsoft Office. Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents. Assist with office management tasks such as supply inventory, calendar management, and coordinating meetings. Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking. Provide exceptional customer service by addressing inquiries promptly and professionally while maintaining excellent phone etiquette. Support clerical functions such as proofreading documents, preparing reports, and managing confidential information. Collaborate with team members to improve office procedures and ensure efficient workflow. Skills Proven experience in office management or administrative support roles with strong organizational skills. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools. Familiarity with multi-line phone systems and front desk operations. Bilingual abilities are highly desirable to serve diverse client needs effectively. Strong customer service skills with a friendly demeanor and professional phone etiquette. Experience with clerical tasks such as filing, proofreading, calendar management, and document preparation. Knowledge of bookkeeping software like QuickBooks is a plus for handling basic financial transactions. Exceptional time management skills to prioritize tasks efficiently in a busy environment. Personal assistant experience or background in office administration enhances your fit for this role.
