Job Description
Position Summary The Private Label & Customer Programs Coordinator serves as the primary point of contact for all private label customer projects, managing the process from initial customer communication through final approval and execution. This role coordinates cross-functionally with customers, graphic design, quality assurance, sales, and operations teams to ensure private label products, packaging, and related materials are delivered accurately and on schedule. In addition, this position manages distributor portals and online product content, supports customer-specific programs, analyzes sales data, resolves distributor bill-back discrepancies, and provides administrative and project support to the Key Account Manager. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple projects simultaneously. Key Responsibilities Private Label Project Management Serve as the primary contact for private label customers throughout the product and label development process. Coordinate project timelines and shepherd private label initiatives through design, review, approval, and production stages. Work closely with Graphic Design, Quality Control, and Operations teams to ensure label accuracy, regulatory compliance, and timely completion. Track project milestones and proactively communicate status updates to customers and internal stakeholders. Maintain organized records of artwork approvals, specifications, and customer communications. Distributor Portal & Key Account Support Maintain distributor portals, including setting up new items, updating product information, and entering promotional programs. Submit, track, and follow up on distributor disputes, deductions, and bill-back claims to ensure timely resolution. Serve as the primary internal resource for distributor portal administration and ongoing maintenance. Provide administrative and day-to-day support to the Key Account Manager, assisting with customer requests, documentation, reporting, and project coordination. Help manage routine account activities and operational tasks, allowing the Key Account Manager to focus on customer growth, business development, and strategic initiatives, also assist at tradeshows. E-Commerce & Digital Content Management Maintain product information, images, and content across company websites and customer online sales platforms. Ensure online product catalogs are accurate, complete, and aligned with current offerings. Coordinate updates related to new product launches, promotions, and discontinued items. Qualifications 2+ years of experience in customer service, account coordination, project management, sales support, or food industry administration. Strong organizational and project management skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency with Microsoft Office, particularly Excel for reporting and data analysis. Experience working with distributor portals, ERP systems, e-commerce platforms, or customer portals preferred. Detail-oriented with strong problem-solving and follow-through skills. Ability to work collaboratively across multiple departments and with external customers.
