We are a growing CPA firm looking for a Firm Operations Manager who can bridge the gap between our technical tax preparation and a world-class client experience. In this role, you aren't just "back office"—you are the face of the firm and the engine that keeps our workflows moving. Core Responsibilities 1.
Financial & Workflow Management Billing & Collections:
Manage the firm's invoicing and accounts receivable. You'll ensure clients are billed accurately and payments are collected promptly.
Document Logistics:
Act as the "gatekeeper" for client information. You will proactively contact clients to gather missing documents, ensuring our tax preparers have everything they need to stay on schedule. 2. The Client Experience & "The Hand-off"
Professional Greeting:
Serve as a primary face and voice of the firm, both in-office and via email.
The Guided Tour:
Meet with clients once their returns are finished. You will walk them through their completed tax returns, explaining the summary, highlighting refunds or balances due, and answering basic "next step" questions. Closing the
Loop:
Ensure clients understand exactly where to sign, how to pay their taxes, and what records they need to keep. 3.
Tax Season Team Leadership Front-Office Synergy:
Collaborate with and lead the support staff during the peak of tax season.
Flawless Execution:
Oversee the final delivery stage. You will ensure that every return—whether digital or paper—is collated correctly, signatures are captured without error, and the "signing to filing" transition is seamless.
Who You Are A Natural Leader:
You enjoy working as part of a team and can rally support staff to maintain high standards during high-pressure deadlines.
Hyper-Organized:
You hate leaving loops open. If a signature is missing or a document is late, you're on top of it.
Articulate & Poised:
You can explain complex-sounding timelines to clients in a way that is clear, calm, and professional.
Tech-Comfortable:
You have experience with professional office software and are ready to master our tax workflow and e-signature platforms.
Experienced:
Previous experience in a CPA firm, law office, or professional services environment is highly preferred. Why Join Us?
