Job Description

The Marketing/ Admissions Coordinator works to grow the company's reach in the community. This position supports the admission process by providing tours to referrals and potential stakeholders. The role requires enrolling in events related to the Traumatic Brain Injury (TBI )industry; such as the Michigan Brain Injury Awareness Programs, Michigan Auto No-Fault Seminars & Conferences and Workers Comp Communities. It also involves coordinating the admission process, gathering medical records and scripts for service. Some evening and weekend events will be required as part of this role.
Specific Duties:
Grow Communicare Census and brand duties . Assist in developing marketing materials and submit for approval Media Packet Day Program Brochure Promotional Materials for events Events List Spring Fling Schmooze BIAMI Lansing event Fall Event Christmas Event All other events Maintain Social Media related to Communicare Michigan (i.e. Facebook 3x per week , Twitter 1x per month , LinkedIn 1x per month , Monthly Email Blasts 2x per month. Secure all applications for attending events and submit for approval to Program Director for approval. Then forward to Accounting Department for payment. Accounting Department will mail out payments. book travel for pertinent staff, set up booth, obtain staging and marketing materials Send email two weeks prior to event to staff to advise of travel details. A reconciliation marketing budget will be supplied. This is to purchase entertainment, gift cards and such for smaller marketing opportunities. This must be rectified weekly. If it is over budget, advise Program Director and alterations will be submitted to Accounting Department, if approved. Grow and maintain relationships with stakeholders . Deliver appreciation tokens quarterly (this could also be linked to holidays if preferred) to stakeholders offices (Attorneys, Case Managers, Physicians, Guardians) ( Target dates March 30, June 30, October 31, and December 1). Submit to Program Director ideas by two weeks prior to delivery date for approval. Maintain a stakeholders database. Complete addresses, phone numbers, emails, etc. Provide tours to referrals and the appropriate stakeholders 1x per month . Provide resource options and service linking as needed. Create/update/utilize Referral Source document. Meet with new potential stakeholders (Attorneys, Case Managers, Physicians, Guardians) 1x per month in order to grow company. This may include afterhours dinners and events to grow relationships. Coordinate the admission process of new client. Obtain medical records from pertinent sources (i.e. case managers, treating physicians, guardians, attorneys, police reports, neuropsychologists) in order for Program Director to determine level of care and write Proposed Treatment Plan. Submit Benefit Verification form to Billers prior to admission. Develop Face sheet for client with all necessary data. Personal Information (dob, soc sec, doi, address, email, phone, etc) Treating doctors Benefit info Medications Allergies Guardian Case Manager Obtain prescriptions to treat with required services utilizing Prescriptions to Treat form. Have scripts be written specific to course of treatment. You may utilize form that was created by Community Relations or if doctor is requesting to write own script advise them to state one or more of the following: Admission to HCBR Programing Admission to Day Programming Admission to Outpatient Programming (evaluate and treat) Speech Therapy Mental Health Therapy Cognitive Therapy Occupational therapy Establish appointment for tour and Clinical Assessment meeting. Have Client or Guardian complete admission packet with tutorial during admission meeting. Upload all paperwork, scripts, and face sheet to secured server immediately after obtaining and place in a new client binder. If client is in need of services (i.e. case management, legal counsel, treating doctors) please assist in coordinating those services.
Documentation duties:
Submit Monthly Marketing report to Program Director for review. Once approved, Program Director will forward to Ownership. Admission documentation (see above) Attend Treatment Team 2x per month Maintain Consent to Treat forms by having client or guardian renew 1x per year (November) . Upload to server once obtained. Maintain Assignment of Rights releases 2x per year (January and July).
POSITION OBJECTIVES
Grow relations with pertinent stakeholders (i.e. Case Managers, Attorneys, Guardians, treating Physicians). Expand Communicare Michigan, LLC census. Be a valuable liaison between service providers, clients and their family members, attorneys, insurance providers and company coworkers; facilitating communication and collaboration to ensure smooth transitions of care.
MEASURED BY
Client and stakeholder satisfaction. Growth in the company's referral base. Meeting the clients' treatment goals. Meeting established productivity goals. Timely completion of daily and monthly reporting. Feedback from others including staff, the management team, clients, referral sources and the public.
POSITION REQUIREMENTS
(ABILITIES & SKILLS): A Bachelor's or Master's degree in a business related field. Marketing experience in the health care field The ability to work in a fast paced environment and manage multiple tasks. Timeliness of notes and reporting. A valid driver's license, satisfactory driving record. Excellent communication skills in both written and verbal forms. Demonstrated customer service abilities. Attention to detail and follow-up.
