Job Description

Position Summary Loviscky & Cressman, LLC is seeking a full-time Client Coordinator to support our Estate Planning team. This in-office position serves as the primary point of contact for prospective and existing clients and plays a critical role in managing client intake, scheduling, and overall client experience. The Client Coordinator is responsible for ensuring efficient office operations, maintaining accurate client records, and facilitating clear communication between clients, attorneys, and staff. This position requires a high level of professionalism, organization, discretion, and the ability to manage multiple priorities in a fast-paced environment. Employment Details

        State College, Pennsylvania Key ResponsibilitiesClient Communication & Front Office Operations
        • Serve as the primary point of contact for incoming client inquiries via phone, email, and in person
        • Provide professional and courteous assistance to clients and visitors
        • Manage front office responsibilities, including greeting clients and maintaining the reception area
        • Respond to client inquiries and voicemails in a timely and professional manner
        • Maintain strict confidentiality of client and firm information Client Intake & Scheduling
        • Conduct new client intake, including gathering relevant personal and matter-related information
        • Schedule consultations and meetings in accordance with attorney preferences and firm protocols
        • Coordinate appointment confirmations and distribute onboarding materials
        • Manage attorney calendars and adjust scheduling as necessary Case Coordination & Administrative Support
        • Maintain and update client files in both digital and physical systems
        • Monitor matter progress and assist in providing status updates to clients
        • Prepare files and documentation in advance of client meetings
        • Assist with document preparation, execution, and follow-up File & Document Management
        • Organize, scan, and file client documents in accordance with firm procedures
        • Assist with preparation of document sets and client deliverables
        • Support document execution processes, including notarization and witnessing when applicable
        • Coordinate mailing and delivery of documents Internal Coordination
        • Facilitate communication between attorneys, paralegals, and administrative staff
        • Track internal tasks and communications to support timely completion of client matters
        • Assist with general administrative and operational duties as needed QualificationsEducation & Experience
        • Associate's degree preferred
        • Minimum of two (2) years of administrative, clerical, or client service experience preferred Required Skills & Competencies

        • Ability to handle confidential information with discretion
        • Proficiency with standard office technology and software systems Compensation & Benefits
        • Competitive salary based on experience ($40,000 - $60,000)
