Position Overview The Client Coordinator is the first and last impression of fillir. This role is responsible for creating a welcoming, seamless, and elevated experience for every client while ensuring front desk operations run efficiently. Key ResponsibilitiesClient Experience Greet every client with warmth, professionalism, and genuine hospitality Create a seamless check-in and check-out experience Build relationships with clients to encourage loyalty and retention Address client questions, concerns, and feedback with care and urgency Uphold fillir's philosophy: never pushy, always supportive and informative Scheduling & Communication Manage appointment scheduling, confirmations, and follow-ups Optimize provider schedules for efficiency and productivity Communicate clearly with clients via phone, text, and email Assist with rescheduling and maintaining full books Front Desk Operations Maintain a clean, organized, and welcoming front desk environment Process payments, memberships, and package purchases accurately Handle daily administrative tasks and documentation Support opening and closing procedures Sales Support (Client-Focused) Educate clients on services, memberships, and current promotions Encourage rebooking and long-term treatment planning Support retail sales through genuine recommendations Promote fillir's referral program and client benefits Team Collaboration Work closely with providers and leadership to ensure smooth daily flow Communicate schedule changes, client notes, and updates effectively Step in wherever needed to support the team and client experience Qualifications 1+ year experience in customer service, hospitality, or medical/aesthetic front desk preferred Strong communication and interpersonal skills Highly organized with attention to detail Ability to multitask in a fast-paced environment Positive, team-oriented attitude What We Value at fillir A "YES" mindset
