Bilingual Intake & Client Relations Coordinator (English/Spanish) Remote | Part-Time (Approximately 10-20 Hours Per Week) We are a plaintiff-side employment law firm seeking a compassionate, organized, and highly reliable Bilingual Intake & Client Relations Coordinator to serve as the first point of contact for potential clients and assist Spanish-speaking clients throughout their matters. This position is ideal for someone who enjoys helping people, has excellent communication skills, is highly organized, and can manage multiple ongoing matters without extensive supervision. The right candidate will play a critical role in ensuring that potential clients receive prompt attention, current clients receive excellent service, and the firm maintains an organized and efficient intake and onboarding process. About the Role The Intake & Client Relations Coordinator will oversee much of the firm's client intake and onboarding process from initial inquiry through case opening. The position will also assist with communication and coordination involving Spanish-speaking clients during active litigation. This role requires strong interpersonal skills, sound judgment, attention to detail, professionalism, and the ability to build trust with individuals who may be experiencing difficult workplace situations. The successful candidate will understand that they are often the first impression a potential client receives of the firm. Primary ResponsibilitiesIntake and New Client Coordination Respond to website inquiries and new client leads. Follow up promptly with potential clients. Conduct initial intake calls in English and Spanish. Gather relevant facts and background information from potential clients. Identify and organize information needed for attorney review. Maintain accurate records of all intake activity and lead status. Track referral sources and referral relationships. Coordinate attorney consultations when appropriate. Follow up with potential clients after consultations. Assist with engagement and onboarding of new clients. Client Onboarding Prepare and send fee agreements and related onboarding documents. Coordinate referral fee agreements when applicable. Set up new matters within firm systems. Request and organize client documents and information. Monitor outstanding onboarding items and follow up as needed. Ensure new client files are complete and organized. Client Relations and Litigation Support Serve as a communication resource for Spanish-speaking clients. Assist with obtaining information and documents needed during litigation. Help coordinate responses to written discovery requests. Communicate with clients regarding deadlines, document requests, and case-related tasks. Assist with translation during client meetings, mediations, settlement conferences, and occasional hearings when client attendance is required. Help ensure clients remain engaged and responsive throughout their cases. Qualifications Required Fluent in both English and Spanish (written and verbal). Excellent communication and interpersonal skills. Strong organizational and follow-up abilities. Ability to handle sensitive and confidential information professionally. Strong attention to detail. Ability to manage multiple ongoing tasks and deadlines. Proficiency with Microsoft Office, Google Workspace, and cloud-based software. Ability to work independently with limited supervision. High level of integrity, accountability, and professionalism. Preferred Prior law firm experience. Experience conducting client intakes. Experience in employment law, personal injury, immigration law, or other client-facing legal environments. Experience with CRM, case management, or intake management software.
