The AM owns the client relationship at the working level, ensures all moving parts stay aligned, and holds process and compliance standards consistently across every job — regardless of who is asking or how much pressure exists.
RESPONSIBILITIES
The AM works closely with the Account Executive (AE), Project Manager (PM), Creative team, Regional Program Coordinator (RPC), and warehouse to keep projects moving, clients informed, and internal teams aligned. In smaller projects or when no dedicated PM is assigned, the AM may carry both AM and PM responsibilities simultaneously. Work with assigned client accounts to manage one-on-one interactions, oversee daily and routine tasks involved with client needs and concerns, as well as maintaining their account activities. Assist with maintaining accurate job file information on all project activities. Assist with preparations of production orders, estimates and associated correspondence as needed. Monitor the production process, including communication to the logistics team, to ensure that all project objectives are accomplished and on time. Manage and facilitate deliverables, including project plans, agenda, meetings, budgets and internal and external communications. Identify potential obstacles and ensure back-up plans are in place, escalating if needed to the appropriate account owner. Ensure successful management of all communication, both internal and external as it relates to account assignments. Master internal systems used to initiate new jobs, task internal departments and preparation of invoices. Prepare account reconciliations, investigate differences, conduct expense analysis and maintain the company's fixed assets system. Additional duties and special projects may be assigned as business needs require.
SKILLS & QUALIFICATIONS
Required Strong written and verbal communication skills, with the ability to push back constructively when process is at risk Highly organized with the ability to manage multiple deadline-driven projects simultaneously Customer service orientation paired with conflict resolution and de-escalation skills Intermediate to advanced computer literacy, including Microsoft Office Suite Able to work both independently and collaboratively across departments Ability to prioritize and pivot quickly in a fast-paced project environment Discipline to hold process standards consistently regardless of who is asking Comfort working with structured documentation, written direction, and shared drives
Strongly Preferred:
Background in trade show, exhibit, event production, or experiential marketing operations Experience with NetSuite or comparable ERP/CRM platforms Familiarity with show services vendors and labor coordination (Sho-Link, GES, Freeman, Shepard, etc.) Experience writing production orders, sales orders, proposals, or scopes of work Prior client-facing account management or coordinator role Exposure to inventory management, asset tracking, or warehouse coordination Comfort using project management tools (ClickUp, Asana, Monday, or equivalent) Working knowledge of insurance certificates (COI), travel coordination, and reimbursement processes
Pay:
$55,000.00•$65,000.00 per year
