Job Description
Giant Partners, a data driven marketing agency serving companies across the United States for the last 18 years, is looking for a highly organized, upbeat, and detail oriented person to join our team in our Thousand Oaks office. This role is perfect for someone who enjoys working with people, keeping projects organized, and helping Sales and Marketing Fulfillment teams stay aligned. You will act as the liaison between our Sales team and our Marketing Fulfillment team, making sure requests are complete, client expectations are clearly communicated, timelines are followed, and projects keep moving in the right direction. In this role, you will work directly with the Funnel Coordinator to obtain and communicate information related to timelines, deliverables, task status, deadlines, and project details. You will also work directly with the Funnel Leader to receive direction and answers related to campaign strategy, client requests, project scope, and strategic recommendations. The ideal person for this position can translate Sales requests into clear fulfillment instructions, follow up with the right internal team members, identify missing information, and help ensure marketing deliverables are completed accurately and on schedule.
Responsibilities include:
Work directly with the Sales team to gather project details, client notes, campaign requirements, deadlines, assets, and special instructions. Review Sales requests before handoff to Marketing Fulfillment to make sure all required information is complete, accurate, and actionable. Work directly with the Funnel Coordinator to confirm timelines, deliverables, task status, deadlines, project details, and next steps. Work directly with the Funnel Leader to receive answers and direction related to strategy, client requests, project scope, campaign recommendations, and internal priorities. Communicate project needs clearly to the Marketing Fulfillment team and confirm scope, priorities, deliverables, and timelines. Serve as the primary point of contact between Sales and Marketing Fulfillment for status updates, clarifications, revisions, approvals, and handoffs. Help organize, track, and follow up on marketing fulfillment projects, revisions, and deadlines. Follow up with the Funnel Coordinator, Funnel Leader, Sales team, and fulfillment team members to help keep projects on schedule and ensure commitments are met. Help prioritize incoming Sales requests based on urgency, client expectations, deadlines, strategic direction, and team capacity. Coordinate internal communication between Sales, Marketing Fulfillment, Client Services, Creative, and Production teams as needed. Review project notes, task updates, and instructions to make sure all details are clear, accurate, and aligned with client needs and approved strategy. Identify missing information, potential bottlenecks, or communication gaps early and help escalate or resolve them quickly. Assist with marketing related projects, client presentations, campaign support, internal documentation, and fulfillment coordination. Help maintain accurate project details, task statuses, deadlines, deliverables, and communication notes in internal systems. Support the team with general administrative and coordination tasks as needed.
Ideal candidate:
Strong communication and follow up skills. Very organized, detail oriented, and able to keep projects moving. Comfortable working closely with Sales, the Funnel Coordinator, the Funnel Leader, Marketing Fulfillment, and internal departments. Able to translate Sales requests, Funnel Coordinator updates, and Funnel Leader direction into clear project instructions for fulfillment teams. Able to manage multiple projects, priorities, timelines, deliverables, and deadlines at the same time. Confident asking clarifying questions and making sure requests are complete before work begins. Able to distinguish between timeline or deliverable questions that should go to the Funnel Coordinator and strategy or client request questions that should go to the Funnel Leader. Positive attitude, professional communication style, and willingness to learn. Comfortable working in a fast paced office environment. Good writing, proofreading, and note taking skills. Interest in marketing, advertising, fulfillment operations, client service, or project coordination. Reliable, professional, and able to follow through.
