Our marketing team is the engine behind our growth, and we are looking for a Creative Director who will take our brand and creative output to the next level.
Position Summary:
The Marketing Budget Coordinator is responsible for the day-to-day management, tracking, and reporting of all marketing department budgets. This role serves as the primary point of contact between Marketing and Finance, ensuring budget accuracy, timely vendor payments, and proactive communication when spending trends above or below plan. The ideal candidate is highly organized, detail-oriented, and comfortable working across teams to keep financial operations running smoothly.
Key Responsibilities:
Budget Management & Reporting Maintain and update marketing budgets across all cost centers, campaigns, and initiatives on a weekly and monthly basis Track actual spend against approved budgets and produce variance reports highlighting over-budget and under-budget areas Develop and distribute monthly budget status reports to marketing leadership and relevant stakeholders Assist in the preparation of annual marketing budgets and quarterly forecasts Flag budget risks early and recommend reallocation strategies to stay on plan Vendor & Invoice Coordination Manage the end-to-end invoice processing workflow for marketing vendors, including receipt, coding, approval routing, and payment confirmation Maintain a centralized vendor tracker with contract terms, payment schedules, and renewal dates Reconcile vendor invoices against purchase orders and contracts to identify discrepancies Coordinate with Procurement and Legal on new vendor onboarding and contract renewals as needed Finance Liaison Serve as the marketing department's primary contact with the Finance team for budget inquiries, journal entries, accruals, and month-end close activities Ensure marketing expenses are properly coded and allocated in the financial system Coordinate with Finance on budget transfers, reforecasts, and ad hoc financial requests Support internal and external audit requests related to marketing expenditures Process Improvement Identify opportunities to streamline budget tracking, reporting, and approval workflows Recommend and implement tools or templates that improve financial visibility for the marketing team Document budget management processes and maintain a standard operating procedures guide QualificationsRequired Bachelor's degree in Finance, Accounting, Business Administration, Marketing, or a related field 2-4 years of experience in budget coordination, financial analysis, marketing operations, or a similar role Strong proficiency in Microsoft Excel or Google Sheets, including pivot tables, VLOOKUP, and budget modeling Excellent organizational skills with a strong attention to detail and accuracy Effective written and verbal communication skills, with the ability to translate financial data into clear insights for non-financial stakeholders Ability to manage multiple priorities, meet deadlines, and work independently Preferred Experience working within a marketing department or agency environment Familiarity with financial systems such as SAP, Oracle, NetSuite, or similar ERP platforms Experience with marketing project management or spend management tools (e.g., Allocadia, Uptempo, Workfront) Knowledge of marketing operations, campaign execution, and media buying processes Competencies Analytical Thinking — Ability to interpret financial data, identify trends, and provide actionable recommendations Proactive Communication — Keeps stakeholders informed of budget status without being asked; escalates issues early Cross-Functional Collaboration — Works effectively with Marketing, Finance, Procurement, and external vendors Process Orientation — Brings structure and consistency to budget workflows; documents and improves processes Accountability — Takes ownership of budget accuracy and delivers reliable, timely information
Pay:
$60,000.00 - $75,000.00 per year
