This is a unique opportunity for someone who enjoys both the creative and administrative sides of business. The ideal candidate is proactive, dependable, highly organized, and comfortable balancing a variety of responsibilities ranging from marketing support and social media coordination to administrative and project-based tasks for our leadership team. Opportunities for cross-training and professional development within the practice, including exposure to check-in and check-out, may be available for interested candidates. We are looking for someone who takes pride in producing high-quality work, enjoys learning new skills, and wants to grow professionally within a thriving medical and aesthetic practice. Position Summary The Marketing & Administrative Coordinator provides support to the practice management team and Marketing Director by assisting with marketing initiatives, social media management, special projects, and day-to-day administrative tasks. This position plays an important role in helping maintain the professional image of our practice while supporting operational efficiency. This is a full-time, in-office position (NOT REMOTE). Responsibilities Marketing Support Maintain and organize the practice's social media content calendar Assist with social media posting and scheduling across multiple platforms Under direction of Marketing Director, create graphics and promotional materials using Canva or similar design software Assist with marketing campaigns, patient events, office promotions, and special offers Assist in coordination of marketing projects and ensure deadlines are met Help maintain marketing materials, brochures, signage, and in-office displays Assist with email marketing campaigns and practice communications Support collection and organization of patient testimonials, before-and-after photos, video and marketing content Administrative Support Provide administrative assistance to the management team and Marketing Director including assistance with meetings, projects, and follow-up tasks Assist with tracking projects and ensuring timely completion of action items Organize documents, reports, spreadsheets, and presentations Assist with vendor communications and coordination, as needed Support various operational, administrative, and special projects as assigned Maintain confidentiality and professionalism in all interactions Maintain strict confidentiality of patient, employee, and business information at all times Handle sensitive information in accordance with HIPAA regulations and practice policies Our Ideal Candidate Highly organized with exceptional attention to detail Strong written and verbal communication skills Professional, positive, and service-oriented attitude Creative mindset with an eye for design and branding Able to prioritize multiple projects and deadlines simultaneously Self-motivated and comfortable working independently Tech-savvy and quick to learn new software platforms Reliable, adaptable, and willing to assist wherever needed Enjoys being part of a collaborative team environment Qualifications 1-3 years of administrative, marketing, communications, or project coordination experience preferred Experience with social media platforms including Instagram and Facebook preferred Experience with Canva or similar graphic design software preferred Photography or videography experience a plus Proficiency in Microsoft Office, including Excel Experience in healthcare, dermatology, aesthetics, or medical practices is a plus but not required Bachelor's degree preferred but not required for candidates with relevant experience Benefits We offer competitive compensation based on experience and benefits including: PTO Paid holidays Health insurance Dental insurance Vision insurance Life insurance 401(k) 401(k) matching Complimentary aesthetic services Generous employee discounts on skincare products and aesthetic treatments Applicants must have verifiable work history and consent to a background check.
