This position is a great fit for someone who can stay organized, communicate clearly, follow through on tasks, and keep multiple moving parts on track. The right person does not need to know the tree industry already, but they do need to be willing to learn, ask questions, take good notes, and keep things documented. About the Role This role supports the office, field team, customers, vendors, and management. You will help keep schedules updated, enter customer information, follow up on quotes and invoices, assist with marketing, manage documents, and make sure important details do not fall through the cracks. A major part of this position is keeping our systems organized and documented. If something is scheduled, changed, quoted, paid, followed up on, or discussed, it needs to be recorded clearly.
Responsibilities Responsibilities may include:
Answering phones and assisting with customer intake Collecting customer information and entering details into Jobber Creating estimate requests, jobs, tasks, and follow-ups Checking the schedule and keeping jobs updated Following up on open quotes and late invoices Sending emails, texts, reminders, and customer updates Keeping detailed notes in Jobber after calls, emails, texts, and changes Checking the company email and responding or forwarding as needed Helping coordinate with field managers, crews, vendors, and customers Assisting with company documents such as COIs, business licenses, W-9s, contracts, and vendor paperwork Maintaining organized employee files and paperwork Assisting with company credit card paperwork and administrative tracking Submitting and tracking GA811 tickets when needed Helping manage marketing materials, flyers, mailers, and printed items Posting and assisting with social media content for Facebook, Instagram, TikTok, and YouTube Organizing jobsite photos/videos for marketing and website use Helping with vendor communication, lead tracking, and follow-up Supporting management with administrative tasks as needed What We're Looking For We are looking for someone who is: Highly organized and detail-oriented Comfortable using computers, email, and online systems Able to communicate professionally with customers and vendors Good at taking notes and documenting information Able to prioritize tasks in a busy office Willing to learn new systems and procedures Dependable and consistent Comfortable asking questions when something is unclear Able to work independently once trained Professional, friendly, and calm under pressure Helpful Experience Experience with any of the following is helpful, but not required: Office administration Scheduling or dispatching Customer service Jobber or other CRM systems QuickBooks, Gusto, Google Workspace, Canva, or similar programs Social media posting or basic marketing Vendor paperwork, COIs, W-9s, or employee files Construction, landscaping, tree service, or home service companies Requirements Strong written and verbal communication skills Basic computer skills Ability to stay organized with multiple tasks Reliable attendance Professional phone and email etiquette Willingness to learn company systems and processes Must be comfortable working in a fast-paced office environment Schedule Monday through Friday Office hours are generally 8:00 AM - 5:00 PM Why Join Southeast Tree?
