PROPOSAL & MARKETING COORDINATOR
Hawaiian Dredging Construction Company is seeking a Proposal & Marketing Coordinator to join the Preconstruction Services Department. This position reports to the Proposal & Marketing Manager and collaborates closely with pursuit teams, project managers, and other departments as needed.
OVERVIEW
The position requires strong organizational and task-management skills, strong writing ability, and keen attention to detail to produce high-quality proposals and marketing materials. The role involves developing and coordinating compelling, on-brand responses to Request for Proposals (RFPs) and Request for Qualifications (RFQs), as well as client qualifications and pursuit presentations. The successful candidate will be proactive, able to manage multiple deadlines, and an effective communicator.
ESSENTIAL DUTIES
Assist with the preparation of RFP/RFQs, and general qualification efforts, including interview and presentation materials, ensuring accuracy of the technical scope, staff qualifications, experience, and alignment with overall pursuit themes and graphic standards. Work directly with senior-level technical staff to develop, design and produce proposal materials, including writing, editing, verifying and formatting content to ensure materials are accurate, timely, visually consistent, and clearly written. Support the creation of marketing materials such as informational documents, qualifications packages, advertisements, displays, and brochures that align with strategic marketing and communication initiatives. Maintain and update company-wide marketing and proposal databases with current project, team, and experience information, including visiting project jobsites to collect and document relevant data, photography, and content. Assist in the design and development of promotional materials and advertisements for various clients, pursuits, and publications. Support the preparation of award submittals and assist with public relations and communication initiatives as needed. Perform general administrative duties, as assigned.
POSITION QUALIFICATIONS
Bachelor's degree in Marketing, Communications, or a related field, or equivalent relevant experience. Approximately 3-5 years of experience in Marketing and Communications (AEC industry knowledge preferred). Strong writing, editing, proofreading, and verbal communication skills with the ability to produce clear, compelling, and accurate materials. Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator, etc.) and Microsoft Office Suite (Word, PowerPoint, Excel, etc.) Highly organized with strong task and time-management skills; ability to manage multiple priorities and meet deadlines in a fast-paced environment. Self-motivated professional who can work effectively both independently and collaboratively within cross-functional teams.
