Position Summary The Front Office Coordinator & Marketing Assistant serves as the first impression of The Irish Group, creating a welcoming, professional, and positive experience for clients, visitors, employees, and community partners. As the face of our organization, this individual brings warmth, energy, and exceptional customer service to every interaction while supporting office operations and marketing initiatives that strengthen our brand and community presence. Reports To:
Human Resources & Office Manager (Front Office Coordination) and Marketing Director (Marketing Support) Responsibilities Key responsibilities include, but are not limited to, the following: Front Office Coordinator Duties Answer and direct phone calls and emails Warmly welcome visitors to our offices, ensuring they are offered water, coffee, and/or snacks Help maintain clean, organized, and welcoming front office and common areas Oversee the conference room schedules Retrieve, process, sort, and distribute daily mail and deliveries Assist with office management activities such as restocking supplies as needed Maintain electronic and paper filing systems Assist with data entry and record management Support special projects and company events Provide general administrative support to leadership and staff, with special focus on marketing and office administration Additional duties as assigned Marketing Duties Assist with creating marketing media content (could include creating flyers, newsletters, and promotional materials). Assist with printing and assembling marketing materials Assist with email marketing campaigns Assist with social media posting Update company websites with new data, images, and/or blog posts as directed Assist with marketing events, open houses, sponsorships, and community outreach activities Assist with customer experience, including closing and welcome gifts for clients Assist with collecting client surveys and reviews Help maintain brand consistency across all communications Additional duties as assigned Qualifications Associate's degree preferred; equivalent experience considered 2+ years of administrative, office support, or marketing experience preferred Strong written and verbal communication skills Excellent organizational and time-management abilities Proficiency with Google Workspace and Google Drive Experience with social media platforms and digital marketing tools Graphic design experience using Canva, Adobe Creative Suite, or similar platforms is a plus Comfortable using or learning tools such as CRM systems, email marketing platforms, and website content management systems.
