Executive Assistant / Operations Coordinator We are looking for a highly organized, proactive, and trustworthy Executive Assistant / Operations Coordinator to work directly with the owner across multiple privately held businesses and active projects, including equipment sales, retail, real estate, the fitness industry, yacht management, marketing, and other business operations. This is an exciting and important role for someone who enjoys being close to business ownership, helping organize fast-moving projects, and making sure important tasks, communication, and follow-ups do not fall through the cracks. This is not a basic receptionist or data-entry position. This person will be a key support role to the owner and will help manage daily communication, scheduling, project tracking, marketing coordination, bookkeeping support, and operational follow-up across several different businesses. The right candidate is organized, sharp, dependable, detail-oriented, professional, and able to take ownership of tasks without needing to be constantly reminded. Responsibilities Manage calendar, meetings, appointments, reminders, and follow-ups. Help organize emails, messages, documents, notes, and task lists. Track open items across multiple companies and projects to make sure things are completed. Follow up with employees, vendors, contractors, lenders, customers, partners, and outside professionals when needed. Prepare meeting notes, weekly updates, project lists, and simple reports. Assist with basic bookkeeping support, including receipts, expense organization, invoice tracking, vendor paperwork, payment follow-up, and QuickBooks-related organization. Help coordinate marketing tasks such as social media posting, content scheduling, captions, Canva edits, photo/video organization, and communication with marketing vendors. Help keep business and personal projects organized and moving forward. Maintain confidentiality with sensitive business, financial, and personal information. Bring structure, organization, and accountability to a fast-moving environment. Help the owner stay focused by keeping priorities, deadlines, and follow-ups organized. Ideal Candidate The ideal candidate is someone who is highly organized, professional, and enjoys working in a fast-paced business environment. This person should be comfortable managing multiple priorities, communicating clearly, and helping bring structure to several active companies and projects. Experience in any of the following areas is helpful: Executive assistant Office management Operations coordination Bookkeeping support QuickBooks Marketing coordination Social media coordination Canva Project tracking Administrative support Qualifications Strong organizational and follow-up skills. Excellent written and verbal communication. High attention to detail. Ability to handle confidential information professionally. Comfortable using email, calendars, spreadsheets, Google Workspace, Microsoft Office, and other business tools. QuickBooks or bookkeeping experience preferred. Canva, social media, or marketing experience preferred. Ability to work independently and take initiative. Positive attitude and willingness to learn. Comfortable working directly with a business owner in a fast-moving environment. What This Role Is This is a hands-on executive support and operations coordination role. You will help the owner stay organized, keep projects moving, and make sure important details are handled across multiple businesses. This role is a great fit for someone who enjoys business, organization, communication, marketing, numbers, and being involved in a variety of projects. What This Role Is Not This is not a high-level CPA, controller, or marketing director position. The focus is on executive support, organization, follow-up, marketing coordination, bookkeeping support, and helping keep multiple businesses moving forward. Compensation Compensation will depend on experience and ability.
Expected pay range:
$60,000-$100,000 per year for the right person. There is room to grow as responsibilities increase and the right person proves they can take ownership of more. Schedule Full-time position. Work Location Fargo, ND area.
