Job Description

Position Overview We are looking for a friendly, organized, and proactive professional to support the daily operations of our wealth management firm. This role blends three key areas: reception and client service, marketing coordination, and office management. If you enjoy helping people, keeping an office running smoothly, and supporting marketing efforts that enhance the client experience, this position offers a dynamic and meaningful opportunity. Essential Job Duties Serve as the first point of contact for clients by phone, in person, and via virtual chat. Answer and route incoming calls with professionalism and accuracy. Schedule client meetings, reviews, and follow‑ups. Maintain and update client information in the CRM. Document client conversations and requests clearly and efficiently. Coordinate with advisors and team members to ensure clients reach the right person. Support daily office operations, including general closing duties. Keep the reception and lobby area organized and welcoming. Assist with weekly marketing emails using the firm's third‑party vendor. Help prepare and distribute monthly newsletters. Ensure website content is accurate and up to date. Maintain marketing calendars and track deadlines. Support compliance submissions for marketing materials. Assist with light social media or digital updates as needed (administrative tasks only). Order branded items such as water, promotional gear, and client gifts. Stock and maintain bathroom and kitchen necessities; purchase beverages and supplies for the office beverage station. Keep shared spaces organized, tidy, and client‑ready. Manage general office supply inventory and vendor relationships. All other duties as assigned. Qualifications & Skills High school diploma or equivalent, required. Bachelor's degree in finance, economics, business, marketing, or related field, preferred. 3 years of experience in customer service, sales, marketing, or administrative support in the financial services industry (investments, wealth management, life insurance, banking, etc.). Strong interpersonal skills with ability to build trust and long-term relationships. Exceptional organizational skills with keen attention to detail. Excellent follow-up skills with a proactive approach to tasks and responsibilities. Demonstrates initiative, identifying areas for improvement and taking steps to address areas effectively. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other office tools.
