Job Description

About Us We are a client-focused Certified Financial Planner® practice dedicated to helping individuals and families achieve their financial goals. Our office prides itself on professionalism, integrity, and providing exceptional client experience. Position Summary The Front-End Office and Event/Marketing Coordinator will be the first point of contact for clients and visitors, providing exceptional customer service and ensuring smooth office operations. This role also involves planning and executing client events with some additional marketing to include maintaining our online presence.
Key Responsibilities Front-End Office Duties:
  • Greet clients, visitors, and vendors in a professional and welcoming manner.
  • Answer and direct phone calls, emails, and inquiries promptly and accurately.
  • Manage the scheduling of client appointments and maintain the office calendar for the advisors.
  • Call and confirm client appointments scheduled for the next day by noon the day prior , ensuring all appointments are verified and any changes are communicated promptly.
  • Pick up the mail by 1pm each business day.
  • Order office supplies as needed and ensure the inventory is well stocked.
  • Maintain a clean and organized front desk and reception area.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Assist with administrative tasks such as scanning files, data entry, and preparing documents.
  • Position requires collaboration with the Client Relationship Specialist to streamline tag groups and ensure the CRM system remains structured and up to date.
Event Coordination Duties:
  • Plan, organize, and execute client-facing events, including seminars, appreciation events, and workshops.
  • Coordinate logistics, such as venue booking, catering, invitations, and materials preparation.
  • Manage RSVP lists and maintain clear communication with attendees.
  • Oversee the budget for events, ensuring cost-efficiency and adherence to company guidelines.
  • Collaborate with team members to brainstorm event ideas and themes that align with business objectives.
  • Evaluate event success through feedback and provide recommendations for improvement.
Website Management Duties:
  • Update the office website monthly to ensure all information is accurate and up to date.
  • Work with advisors to align announcements, upcoming events, and other relevant content with their business strategies.
Additional Information:
  • Responsibilities, duties, and tasks are subject to change at the discretion of management to reflect the evolving needs of the office and company priorities.
Pay:
$25.00 - $30.00 per hour
