This vital role combines the responsibilities of managing patient intake processes with supporting marketing initiatives to promote our services effectively. The ideal candidate will be energetic, detail-oriented, and passionate about delivering exceptional administrative support in a healthcare setting. Responsibilities:
Intake Coordination Respond promptly to inquiries from prospective clients, families, hospitals, physicians, and community partners. Conduct initial intake assessments and gather client information. Verify insurance coverage, payer sources, and eligibility when applicable. Coordinate client admissions and schedule assessments with clinical staff. Maintain accurate client records in the agency's electronic medical record (EMR) system. Ensure all intake documentation is completed and compliant with agency policies and regulatory requirements. Follow up with prospective clients and referral sources to facilitate service initiation. Track and report intake conversion rates and referral outcomes. Marketing & Business Development Develop and maintain relationships with hospitals, rehabilitation centers, physician offices, assisted living facilities, skilled nursing facilities, case managers, social workers, and community organizations. Conduct regular visits to referral sources to promote agency services. Represent the agency at networking events, health fairs, community outreach programs, and professional meetings. Identify new referral opportunities and strategic partnerships. Assist with developing marketing materials, presentations, and promotional campaigns. Manage social media and community outreach initiatives as assigned. Monitor market trends and competitor activity to identify growth opportunities. Maintain a referral database and document marketing activities. Customer Service Provide exceptional customer service to clients, families, and referral partners. Address concerns and inquiries professionally and promptly. Serve as a liaison between clients, caregivers, and agency leadership. Ensure a positive client experience from initial contact through service delivery. Administrative Duties Prepare weekly and monthly intake and marketing reports. Maintain confidentiality and compliance with HIPAA regulations. Participate in staff meetings, training sessions, and quality improvement initiatives. Support agency growth goals and performance objectives. Experience Minimum of 1 years of experience in home care, healthcare marketing, intake coordination, admissions, or business development preferred. Knowledge of home care operations, referral processes, and healthcare regulations. Experience working with healthcare professionals and community partners.
