JOB TITLE
Sales & Marketing Coordinator
JOB SUMMARY
Supports the resort's sales and marketing efforts by coordinating in-house events to include but not limited to in-house meetings and themed events. Serves as a key liaison between Sales & Marketing and the operations team.
REPORTS TO
Director of Sales & Marketing
PRIMARY DUTIES AND FUNCTIONS
: Responsible for coordinating and executing in-house events (themed weekends/festivals) and meetings, along with BEO preparations, etc. Coordinates internal communication regarding marketing, activities and upcoming events. Responsible for website updates, including themed events and weekly activities. Coordinates photography assets. Ensures brand standards are maintained throughout the resort. Coordinate marketing influencer stays by making reservations and setting up agendas for the duration of their stay to include activities and dining reservations. Assist the DOSM with daily tasks such as running necessary reports, checking voicemails, etc. Assist DOSM with marketing tasks such as collateral for the property. Check incoming VIP guestrooms for site inspections and/or group VIPs. Provide the Sales Office with support for day-to-day operations with office duties such as distributing weekly BEO's and Group Resumes, incoming calls, weekly schedules and filing as required. Assist Group Rooms Coordinator, as necessary, with entering rooming lists, assign room numbers and making edits as necessary. Perform all duties assigned by management. Maintain a professional appearance and behavior when in contact with clients, vendors, suppliers and co-workers. Follow policies and procedures in standard Operating Procedures Manual and Employee Handbook.
PRIOR EXPERIENCE
Prior Event Planning/Coordinating experience is strongly required.
RESPONSIBLE FOR
: Keys, office equipment and Skytop equipment.
PHYSICAL DEMANDS
: Normal office situation with regard to physical work. Mobility is highly necessary in coordinating with other departments, with guests and prospective clients and supervision of functions.
WORKING ENVIRONMENT
: Work takes place in offices and public area of the property, both inside and outside. Schedule will include weekends, holidays, evenings and shift work.
HAZARDS ENCOUNTERED
Normal office safety hazards as related to copiers, fax machines, computers, etc.
