Position Summary:
The Advertising and External Relations Coordinator is a key driver of PBA's advertising and sponsorship revenue. This role focuses heavily on sales support, prospecting, client relationship management and fulfillment of advertising and sponsorship programs. The coordinator helps grow PBA's revenue by identifying new advertisers, nurturing partner relationships, optimizing placements and ensuring sponsors receive strong ROI and compelling visibility. Additionally, this position has some responsibility in creating newsletters and managing media partnerships. This position is ideal for a proactive, motivated communicator who enjoys selling, building relationships and delivering a polished, client‑ready experience for advertisers and sponsors.Duties and Responsibilities:
In addition to performing any duties that may be assigned by the Director of Communications and External Relationships, the Advertising and External Relations Coordinator is responsible for the following: Advertising & Sponsorship Sales Generate advertising and sponsorship revenue through prospect research, outreach, follow‑up and relationship building. Manage the full advertising workflow—from lead development to closing placements, confirming specs and ensuring accurate delivery. Serve as the primary point of contact for advertisers, offering high‑touch support that drives renewals and long‑term partnerships. Develop sales materials, rate sheets and promotional content to help grow PBA's advertising portfolio. Track campaign performance and prepare clear, client‑friendly reports demonstrating value and engagement. Identify upsell opportunities across publications, digital channels, event programs and specialty campaigns. Maintain accurate records of advertiser activity, commitments and billing needs. Support sponsorship fulfillment by delivering visibility benefits and ensuring sponsors receive strong, measurable value. Marketing & Outreach to Support Sales Growth Create promotional materials that help drive advertiser interest and enhance sponsor value. Assist in the design of brochures, flyers, presentations and digital ads used in marketing and sales outreach. Draft compelling content for newsletters, web pages and campaigns to support visibility of advertising and sponsorship opportunities. Handle coordination of varying PBA newsletters and programs. Ensure all promotional materials align with PBA's brand and elevate advertiser-facing communications. Public Relations & Media Engagement Support media outreach that helps increase visibility of PBA programs, publications and advertising opportunities. Coordinate the PBA Media Awards program, helping build visibility among potential partners and press contacts. Assist in planning Sunshine Week content and related outreach, reinforcing PBA's role as a trusted resource for media.Qualifications:
Bachelor's degree in marketing, communications, public relations or equivalent experience. Strong organizational skills with the ability to manage multiple sales cycles simultaneously. Excellent attention to detail and accuracy in client-facing work. Strong written and verbal communication skills, especially in sales and client service. Proficiency in standard PC software; willingness to learn internal systems. Ability to build strong relationships with advertisers, sponsors, members and external partners. Demonstrated strategic thinking and basic sales or account‑management instincts. Experience with Adobe Creative Suite, Canva and Hootsuite preferred.Essential Functions:
Manage multiple sales‑oriented tasks and shifting priorities with speed, accuracy and professionalism. Communicate in a confident, positive and client‑focused manner. Operate standard office equipment and relevant software with competence. Travel to meeting sites and events as required. Analyze information and make sound decisions that support revenue generation and client satisfaction.Reports To:
