This role combines client intake coordination, therapist matching, marketing support, and community engagement. The ideal candidate is warm, professional, detail-oriented, and passionate about helping connect clients with appropriate care while building strong relationships within the community. This position plays a key role in creating a positive first impression for prospective clients and strengthening the practice's visibility through outreach, networking, and public engagement. Primary ResponsibilitiesClient Intake & Care Coordination
Manage incoming phone calls, emails, and online inquiries from prospective clients
Conduct initial intake screenings and gather relevant client information
Match and assign clients to appropriate therapists based on clinical needs, scheduling, insurance, specialty areas, and fit
Maintain timely communication with clients throughout the intake process
Coordinate scheduling and follow-up communication as needed
Maintain accurate and confidential client records within the electronic health record system
Collaborate with clinical staff regarding referrals, availability, and client placement needs Marketing & Outreach
Assist in developing and implementing the practice's marketing and outreach plan
Build and maintain referral relationships with healthcare providers, schools, businesses, and community organizations
Coordinate outreach initiatives, networking opportunities, and referral partnerships
Represent the practice at community events, health fairs, and networking functions
Assist with social media coordination, newsletters, and promotional materials
Track outreach efforts and referral trends to support practice growth Community Engagement & Public Speaking
Participate in community education and awareness efforts related to mental health
Coordinate and attend speaking engagements, workshops, and presentations
Serve as a professional and welcoming ambassador for the practice
Develop relationships with local providers and organizations to increase collaboration and referral opportunities Qualifications
Bachelor's degree preferred in marketing, communications, psychology, healthcare administration, or related field
Previous experience in healthcare, mental health, customer service, intake coordination, marketing, or community outreach preferred
Strong interpersonal and communication skills
Comfortable speaking publicly and engaging with community partners
Excellent organizational skills and attention to detail
Ability to multitask and manage competing priorities in a fast-paced environment
Proficiency with electronic health records, scheduling systems, and standard office software
Ability to maintain confidentiality and professionalism at all times Preferred Skills
Experience in a mental health or healthcare setting
Knowledge of insurance and referral coordination processes
