Intake Coordinator & Marketing Specialist Mosaic Counseling Mequon, WI Job Details Part-time $25 an hour 10 hours ago Qualifications Teamwork Collaboration Bachelor's degree Attention to detail Organizational skills Newsletters (communication methods) Full Job Description Intake Coordinator & Marketing Specialist Position Summary We are seeking a highly organized, personable, and relationship-driven Intake Coordinator & Community Outreach Specialist to join our growing mental health practice. This role combines client intake coordination, therapist matching, marketing support, and community engagement. The ideal candidate is warm, professional, detail-oriented, and passionate about helping connect clients with appropriate care while building strong relationships within the community. This position plays a key role in creating a positive first impression for prospective clients and strengthening the practice's visibility through outreach, networking, and public engagement. Primary ResponsibilitiesClient Intake & Care Coordination
  • Manage incoming phone calls, emails, and online inquiries from prospective clients
  • Conduct initial intake screenings and gather relevant client information
  • Match and assign clients to appropriate therapists based on clinical needs, scheduling, insurance, specialty areas, and fit
  • Maintain timely communication with clients throughout the intake process
  • Coordinate scheduling and follow-up communication as needed
  • Maintain accurate and confidential client records within the electronic health record system
  • Collaborate with clinical staff regarding referrals, availability, and client placement needs Marketing & Outreach
  • Assist in developing and implementing the practice's marketing and outreach plan
  • Build and maintain referral relationships with healthcare providers, schools, businesses, and community organizations
  • Coordinate outreach initiatives, networking opportunities, and referral partnerships
  • Represent the practice at community events, health fairs, and networking functions
  • Assist with social media coordination, newsletters, and promotional materials
  • Track outreach efforts and referral trends to support practice growth Community Engagement & Public Speaking
  • Participate in community education and awareness efforts related to mental health
  • Coordinate and attend speaking engagements, workshops, and presentations
  • Serve as a professional and welcoming ambassador for the practice
  • Develop relationships with local providers and organizations to increase collaboration and referral opportunities Qualifications
  • Bachelor's degree preferred in marketing, communications, psychology, healthcare administration, or related field
  • Previous experience in healthcare, mental health, customer service, intake coordination, marketing, or community outreach preferred
  • Strong interpersonal and communication skills
  • Comfortable speaking publicly and engaging with community partners
  • Excellent organizational skills and attention to detail
  • Ability to multitask and manage competing priorities in a fast-paced environment
  • Proficiency with electronic health records, scheduling systems, and standard office software
  • Ability to maintain confidentiality and professionalism at all times Preferred Skills
  • Experience in a mental health or healthcare setting
  • Knowledge of insurance and referral coordination processes
  • Marketing or social media experience
