Job Summary We are seeking an energetic and detail-oriented Scheduling & Marketing Coordinator to join our dynamic team. In this role, you will manage appointment scheduling, coordinate marketing efforts, and provide exceptional customer service, sales of the services provided keeping in mind the daily operations. Your proactive approach will help enhance our customer experience and streamline operations. Scheduling, marketing and sales will be remote work paid per commission, while on-site work will be paid per hour. Responsibilities Manage and coordinate appointment scheduling using calendar management tools to optimize workflow, technician availability, and customer satisfaction Schedule jobs, appointments, and service calls while coordinating technician and shop availability Send appointment reminders and maintain accurate scheduling calendars Prepare customer estimates, quotes, and proposals, and follow up to help convert leads into booked jobs Handle front desk duties, including greeting visitors and managing incoming phone calls with professionalism and courtesy Provide exceptional customer support via phone, email, text, and in person through active listening and strong communication skills Create, post, and manage advertisements on all online marketing platforms Support marketing initiatives by updating social media accounts, creating promotional content, and assisting with outreach campaigns Monitor advertising performance and help develop strategies to increase lead generation and business growth Maintain accurate customer records through data entry, filing, and bookkeeping using Square and other office management software Generate invoices, collect payments, and track account activity Manage customer communications, job status updates, and project documentation Coordinate project details between customers, technicians, vendors, and office staff Assist with administrative duties, office organization, and daily operational support Track leads and customer interactions using company software and spreadsheets Ensure a high level of customer satisfaction throughout the scheduling, estimating, and service process Experience Previous experience in office administration, scheduling, dispatching, customer service, clerical work, or administrative support in a fast-paced environment Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and other office management software Experience with Square, invoicing, bookkeeping, payment collection, and data entry preferred Experience managing calendars, scheduling appointments, coordinating technician or staff availability, and maintaining organized records Familiarity with creating and posting online advertisements, managing social media platforms, and supporting marketing initiatives Excellent organizational, time-management, and multitasking abilities with strong attention to detail Ability to prioritize responsibilities, work independently, and meet deadlines in a dynamic work environment Strong verbal and written communication skills with professional phone etiquette and a customer-focused approach Demonstrated ability to provide exceptional customer service and maintain positive relationships with clients and team members Personal assistant, executive assistant, office manager, or administrative coordinator experience is highly desirable Experience preparing estimates, quotes, proposals, and following up on customer inquiries is a plus Bilingual abilities are a plus and valued for serving a diverse customer base Experience in the automotive, wheel repair, refinishing, or collision repair industry is a plus but not required.
