Marketing Support Coordinator

- $55,000 /yr Posted May 15, 2026 This is a Marketing Support Coordinator that is a Full-Time position for a client of ours in the Grapevine area.
This position is responsible for performing administrative and marketing duties of confidential nature and functions at the direction of the Director, Marketing & Communications. Support with travel and conference/event coordination. These include but are not limited to updating salesforce.com CRM, generating custom sales reports, presentation development, meeting schedule and coordination, expense report development, coordinating and preparing marketing packets for new sales and renewals, conducting in-depth market analysis, preparing for conferences, and assisting in the development of new marketing materials. This position is full-time, in-office in Grapevine.
ESSENTIAL FUNCTIONS
1. Assist with marketing administrative tasks such as front desk management, calendar management, POs, screening calls, expense reports and coordinating departmental meetings 2. Manage inventory of all marketing/conference supplies for the Marketing & Communications department 3. Manage all marketing equipment, including shipping and printer equipment. Additionally, requesting service and training the team on the equipment. 4. Manage printer, shipping, client and marketing supplies 5.
Provide sales support by:
- Development of assigned renewal proposals
- Supporting in the development of new sales proposals, acting as primary backup to proposal development team and technical guru for proposal management system
- Updating the CRM system and any departmental tracking Smartsheets
- Conducting comparative research of rates and benefits for current and potential clients 6.
Coordinate conferences and client events in partnership with Marketing Manager including updating the annual conference spreadsheet, developing conference microsites, communicating with outside organizations and internal teams to ensure all materials are prepped and arrive on time, and conducting research on locations for client events, giveaways, and branded attire 7. Support in the rebranding, reformatting, and/or redesigning of marketing and company materials, as needed 8. Support with shipping and tracking for conferences, orientation, client and student materials 9. Coordinate and complete adhoc marketing projects 10. Cross training to support all departmental functions including special projects 11. Communicate and interact effectively and professionally with co-workers, management, customers, etc. 12. Comply with HIPAA, Diversity Principles, Corporate Integrity, Compliance Program policies and other applicable corporate and departmental policies 13. Maintain communication with management regarding development within areas of assigned responsibilities 14. Maintain complete confidentiality of company business QUALIFICATIONS and
EXPERIENCE
Required Qualifications
- Bachelor's degree in marketing, Communications, Business, or related field
- 2-3 years of equivalent work experience
- Excellent writing, editing, and communication skills
- Strong project management and organizational skills
- Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
- Basic Adobe Creative Cloud, Canva and SharePoint Bonus Qualifications
- Experience in insurance, healthcare, higher education, or benefits-related industries
- Familiarity with Salesforce and proposal management tools (Loopio, Qvidian, RFPIO, etc.)
- Word Press experience
- Understanding of digital content, and marketing analytics
- Experience supporting events or conference planning and shipping EDUCATION and
CERTIFICATIONS
- Bachelor's degree required (Marketing, Communications, Business, or related field)
- Relevant certifications in business, administration, marketing, proposal management, or digital tools are a plus
- Training or certification in AI tools, content strategy, or digital marketing platforms are a plus In this position, you may have access to client or customer systems, confidential and/or proprietary information or data, including financial information.
This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
