Marketing Coordinator/Admin Assistant

Position Overview In-Gear Media is seeking a highly organized and creative Marketing Coordinator/Admin Assistant to join our team in Gig Harbor. This is a pivotal role designed to support our Project Managers and Creative team by managing the "pre-to-post" production workflow. You will be the engine behind our project organization, taking creative briefs and schedules and turning them into actionable project roadmaps. The ideal candidate is a hybrid professional: someone who possesses the systems-thinking of a project coordinator and the creative eye of a digital marketer.

Key Responsibilities Campaign & Content Planning Content Strategy:

Build comprehensive content calendars and draft scripts/outlines based on client briefs and historical performance.

Creative Asset Support:

Design YouTube thumbnails for approval and source trending inspiration for client reels and social content.

Copywriting:

Compose initial blog post drafts for various internal brands and update client-facing email templates.

Project Operations & Workflow Project Architecture:

Build and manage projects within Todoist based on Google Calendar and Aryeo schedules.

Workflow Optimization:

Develop and maintain team templates (Todoist/Email) to ensure operational consistency.

Financial Coordination:

Generate client estimates and project budgets based on internal data sheets.

Digital Asset & Social Management Media Management:

Oversee the uploading of real estate media to Aryeo and our internal NAS; manage the lifecycle of Matterport virtual tours (editing, uploading, and archiving).

Social Coordination:

Schedule all approved social media posts and monitor Instagram DMs to assist with community engagement and outreach.

Quality Control:

Conduct internal "first-pass" proofs on video content before final review by Project Managers.

Production Support Field Assistance:

Assist on-site during high-level shoots to help capture virtual tours and provide general production support as needed.

Qualifications Marketing/Operations Background:

1-3 years of experience in marketing coordination, project management, or a related agency role.

Systems Expertise:

Proficiency in Todoist , Google Workspace, and social media scheduling platforms. Experience with Aryeo or Matterport is highly desirable.

Strong Communicator:

Exceptional writing skills for scripting and blogging, with a professional demeanor for client-facing digital outreach.

Detail-Oriented:

A natural "proofreader" who notices the small things before they become client-facing issues.
