Based on Experience -About Scapeland- Scapeland is a fast-growing landscape construction company specializing in patios, retaining walls, drainage, grading, artificial turf, outdoor living spaces, and property transformations. We are building systems, teams, and processes that allow us to scale while providing an exceptional customer experience. We are looking for an organized, proactive, and detail-oriented Operations Coordinator to help support day-to-day operations, customer communication, marketing initiatives, recruiting efforts, and administrative tasks. This role is ideal for someone who enjoys variety, takes ownership of projects, and wants to play a key role in helping a growing company operate efficiently. Read our ideal candidate below! Primary Responsibilities Customer Experience & Administrative Support Answer and manage incoming emails Update customer records and notes in Jobber Schedule estimates and appointments Perform customer follow-up calls and emails Confirm invoices have been received Follow up on project-related items such as Diggers Hotline markings Assist with customer onboarding processes Deliver customer appreciation gifts and thank-you packages Marketing & Brand Support Manage social media accounts including Facebook, Instagram, TikTok, Google Business Profile, and other platforms Coordinate content posting and engagement Create and manage Google review campaigns Respond to customer reviews Assist with website updates and blog content Coordinate promotional materials including: Yard signs A-frame signs Door hangers Flyers Referral materials Assemble customer gift bags and promotional packages Business Development Join and manage memberships and networking organizations Develop and grow partner relationships Reach out to complementary businesses and industry partners Coordinate marketing campaigns Assist with community events and networking opportunities Recruiting & Hiring Support Create hiring advertisements and recruiting materials Manage Indeed applicants and other recruiting platforms Conduct initial applicant screening Maintain a database of future hiring candidates Coordinate interviews and hiring paperwork Organize employee documentation and onboarding materials Operations & Financial Support Verify payroll information before submission Track expenses and maintain records Organize receipts and rebates Prepare checks as needed Maintain truck binders and operational documentation Organize office files and company records Support project managers and leadership team with administrative tasks Additional Support Tasks Delivery and driving assistance as needed Quote preparation assistance Event planning and coordination Office organization and cleanliness Administrative support for Madison and La Crosse operations Special projects as assigned Ideal Candidate Highly organized and detail-oriented Strong written and verbal communication skills Comfortable learning software systems Self-motivated and able to work independently Strong problem-solving abilities Professional and customer-focused Able to prioritize multiple projects simultaneously Proficient with Google Workspace, Microsoft Office, and basic technology Preferred Experience Administrative support Understanding of AI Customer service Marketing or social media management Recruiting or human resources Construction, landscaping, or service-based businesses What Success Looks Like Customers receive prompt and professional communication Marketing and review systems operate consistently Hiring pipelines remain active and organized Administrative tasks are completed accurately and on time Leadership gains time to focus on growth and operations Systems become more organized and efficient as the company grows To Apply Please send your resume and a brief explanation of why you believe you would be a great fit for the Operations Coordinator position at ScapeLand.
